Overview

We are seeking a highly capable and organized individual to assist our growing team in Madrid. The role will involve managing complex calendars, coordinating internal and external meetings, and handling travel arrangements.

Responsibilities
  • Manage calendars for senior executives and the wider team, anticipating conflicts and prioritizing effectively.
  • Coordinate meetings across multiple time zones, ensuring prompt communication and flexibility.
  • Liaise with clients and build strong relationships to streamline scheduling.
  • Handle detailed travel arrangements, including flights, visas, hotels, and transfers.
  • Prepare, edit, and proofread professional documents, presentations, and client materials.
  • Maintain up-to-date client records, update the CRM, and ensure all documentation is correct and of high quality.
  • Support events from planning and organization through to execution.
  • Manage administrative tasks, including invoice processing and credit card reconciliations.
Qualifications

Candidates must have a bilingual level of English / Spanish and ideally hold a relevant University degree. A solid grasp of standard Tech and applications (Office, Google Workspace, Zoom, Slack, CRM software, etc.) is required. A minimum of 3-4 years' experience in a related role is preferred.

Benefits

This role offers a competitive salary between €35,000 - €45,000, plus bonus. The successful candidate will work full-time, with flexibility for peak workloads. The contract is permanent, and the incorporation is expected to be Q4 2025.

Others

The ideal candidate will be comfortable communicating with clients and able to revise important outgoing documents and communications. They will also be comfortable working in an international office environment and collaborating with other assistants.
