What impact you will have

We're looking for a proactive and detail-oriented Executive Assistant to join our HQ in Barcelona. In this pivotal role, you'll work closely with our Chief of Staff and provide direct support to our CEO and other executive team members - coordinating and aligning a dynamic and international schedule, and travel, and ensuring the efficient day-to-day operations of their activities.

This role is ideal for someone eager to take ownership, help align senior leadership schedules and contribute to high-level coordination projects. For the right candidate, this role could eventually evolve into other exciting growth opportunities in our rapidly expanding company.

What you’ll do

  • Manage complex and ever-changing calendars for stakeholders across the different global time zones (EMEA, US and APAC).
  • Coordinate global travel arrangements and logistics, ensuring seamless experiences from start to finish.
  • Support internal and external communications, managing the email inbox, often acting as the point of contact on behalf of the CEO.
  • Collaborate cross-functionally to support ongoing projects and initiatives.
  • Engage with global stakeholders across regions, adapting communication styles and approaches to suit diverse cultural contexts with professionalism and diplomacy.
  • Anticipate executive needs and future travel, helping to prioritize tasks and maintain focus on strategic objectives.
  • Handle sensitive and confidential information with the highest level of professionalism.
  • Solve problems with autonomy and efficiency, especially when faced with ambiguity.
  • Build trusted relationships with colleagues and clients across various time zones and cultures.
  • Participate in process improvements and team-wide initiatives that enhance overall operations.

What you’ll need

  • Excellent English written and spoken communication skills
  • A university degree or comparable level of education.
  • Ideally, 4 - 5+ years of experience in executive support, in fast-paced, high-growth environments (startups, tech, top-tier consulting, etc.).
  • Ability to navigate diverse working styles across regions, demonstrating tact anddiplomacy and emotional intelligence in every interaction.
  • Customer focused with the ability to professionally and handle confidential and sensitive information
  • Strong organizational abilities - you can manage competing priorities with ease.
  • Familiarity with international travel logistics and cross-time-zone coordination.
  • Skilled in Microsoft Office tools, especially Outlook and Calendar; tech-savvy and quick to learn new systems.
  • A team-oriented mindset with a strong sense of initiative and follow-through.
  • Unwavering attention to detail and a strong commitment to confidentiality.
  • You thrive in a fast-paced, dynamic environment with a great sense of urgency, and ability to deal with ambiguity and be flexible to last-minute changes and problem solving.
