YOUR IMPACT

As our People & Workplace Assistant, you will ensure that our office operations run smoothly and efficiently. You will be responsible for creating and maintaining a well functioning and pleasant office environment, while supporting team members and visitors with professionalism and care.

WHAT YOU WILL DO
  • Own the day-to-day workplace environment across our sites.
    Making sure offices are welcoming, functional, safe and well-run.

  • Be the first point of contact for visitors & workplace needs (access, supplies, repairs etc.)

  • Manage and coordinate all site-related vendors and service partners (cleaning, maintenance, catering, facilities), covering scheduling, quality control, and basic contract follow-up, and flex into non-technical procurement for office and lab teams (e.g. consumables, services, logistics) whenever the organization needs extra hands.

  • Run office logistics end-to-end: Ordering, inventory, mail/shipping, meeting room setup, and smooth onsite support for teams.

  • Support moments that matter - Onboarding days, team events, all-hands meeting and small rituals that build community.

  • Maintain clear workplace documentation and checklists (site guides & emergency info) and continuously improve how things work.

  • Support moves/changes/projects like desk reconfigurations, new equipment rollouts, light refurbishments or site expansions.

  • Partner closely with the People, IT and lab/ops teams to keep the workplace aligned with how our teams actually operate.

  • Some travelling across our sites in the UK & Switzerland might be required.

WHO YOU ARE
  • Experienced in workplace/office ops, hospitality and/or administrative roles

  • Strong service mindset: You enjoy making things run smoothly for others.

  • Organized, hands-on mentality and comfortable juggling multiple priorities.

  • Great communicator with vendors and teammates; proactive about spotting problems early.

  • German Fluent (C1) - daily communication with vendors, ordering, coordination.

  • English Fluent (C1) - internal communication and written updates.
