The successful candidate will manage executive-level administrative responsibilities coordinate department-wide organizational activities and act as a key point of contact between the SVP and both internal and external stakeholders.
Key Responsibilities
- Manage the SVPs schedule meetings travel communications and meeting minutes
- Track and ensure follow-ups on key actions and deadlines.
- Act as a liaison between the SVP and both internal and external stakeholders.
- Handle administrative and organizational tasks for the GQA department.
- Assist with budgeting cost tracking and financial planning for the department
- Handle invoice processing for suppliers authorities and service providers.
- Prepare high-quality presentations reports and documents for senior leadership
- Organize departmental events including summits workshops and team gatherings.
- Keep GQA pages on United and SharePoint up to date and well-maintained.
- Support internal communications to ensure clear and consistent messaging.
Qualifications :
- Proven experience supporting senior leadership or project coordination in a fast-paced environment.
- Strong proficiency in Microsoft Office 365 (Outlook PowerPoint Excel Word) SAP and virtual collaboration tools (e.g. Teams SharePoint).
- Excellent command of English and German both written and spoken.
- Strong organizational skills with attention to detail and the ability to manage multiple priorities.
- High level of discretion and professionalism in handling confidential information.
- Proactive solution-oriented mindset with the ability to anticipate needs and act independently.
- Strong interpersonal skills emotional intelligence and cultural sensitivity.
- Resilience and the ability to remain composed under pressure.
