Senior Payroll & People Operations Specialist

The Senior Payroll & People Operations Specialist is central to scaling our payroll, benefits, and people operations as we continue to grow in the US and Canada. Reporting to the Senior Manager, People Operations and working closely with Finance, this role ensures seamless payroll execution, compliance, and benefits administration while optimizing HR systems and processes. This role will play a crucial role in researching, selecting, and implementing a new payroll system, ensuring seamless integration and data flow with our HRIS, and driving process improvements to create efficiencies across the team. The successful candidate requires exceptional attention to detail, strong analytical skills, and a collaborative mindset to support the company’s evolving needs.

Key Responsibilities

Payroll and Compliance

  • Oversee and administer end-to-end, bi-weekly payroll processing for US and Canadian employees, ensuring compliance with all federal, provincial / state, and local labor laws and minimum wage requirements.
  • Maintain payroll records, ensuring up-to-date, compliance data entry for all employee information.
  • Manage paid time off (PTO) and accruals, ensuring accurate tracking, updates, and integration with payroll.
  • Process employee terminations and off-cycle payments promptly, including all final payouts and tax documents.
  • Conduct and manage year-end payroll reconciliations and tax slip generation (e.g., ROE, T4, W2) in both countries.
  • Ensure timely and accurate remittance of payroll taxes.
  • Manage quarterly reporting and remittance for BC Employer Health Tax.
  • Oversee monthly reporting and remittances for the ON Employer Health Tax.
  • Administer quarterly reporting and remittance for WorkSafeBC.
  • Handle monthly reporting and remittance for ON WSIB.
  • Respond to payroll-related inquiries, providing timely and accurate resolutions with a people-first approach, including employment verifications.
  • Stay updated on legislative changes and proactively recommend compliance improvements.
  • Identify and implement payroll process optimizations that enhance efficiency and integration with broader People Operations.

System Implementation & Administration

  • Research, select, and implement a new payroll system to reduce manual processes.
  • Ensure seamless integration of payroll systems (BambooHR Payroll, Quickbooks) with HR + People platforms (BambooHR, Ease, Trainual, Athena, CalSavers, Prospr, Sunlife / Waypoint).
  • Continuously improve payroll and HR workflows for efficiency.

Employee Data Management

  • Process (system updates, documentation) new hires, updates, and terminations, ensuring accurate system records.
  • Conduct regular audits to maintain data integrity across payroll and HR systems.
  • Communicate with stakeholders to track workforce changes effectively.

Benefits Administration

  • Serve as the primary contact for employee benefits inquiries, managing day-to-day benefits administration for US and Canadian employees.
  • Facilitate benefits enrollment, changes, and terminations, ensuring accurate records and timely processing in payroll systems.
  • Ensure accurate processing of benefit deductions and taxable benefits.
  • Coordinate with benefits providers and internal teams to address enrollment concerns and other issues promptly.
  • Support the employee experience by collaborating on initiatives that align benefits, payroll, and people operations with company growth goals.

People Operations

  • Assist with onboarding processes for new employees.
  • Prepare HR reports (e.g., turnover, headcount) to support business needs.
  • Maintain and update People Operations processes for accuracy and efficiency.
  • Provide support for compliance efforts.
  • Provide technical support for People Operations projects as needed.

Qualifications / We are looking for someone who has

  • Vancouver, BC or Toronto, ON based only
  • Post-secondary education in Finance, Payroll or equivalent combination of education and experience required.
  • 3-6 years experience administering Canadian Payroll for a Company of 150+ employees, ideally with a shift-based, hourly workforce.
  • Experience administering USA payroll is an asset.
  • Experience and knowledge or willingness to learn of North American payroll processes and legislation is an asset.
  • Experience working within or alongside a People Operations team / function.
  • Experience working in a fast-paced retail & beauty environment is considered an asset.
  • Familiarity with payroll systems (BambooHR, ADP, Ceridian, Quickbooks, scheduling programs).
  • Excellent ability to manage reporting through Excel.
  • Experience with G-Suite (Google Drive, Google Sheets).
  • Experience with Asana is an asset.
  • Ability to multitask and handle confidential and sensitive information with care.
  • Strong collaboration, interpersonal and team-centric skills while being comfortable with changing priorities.
  • Excellent attention to detail.
