Job description

In this fast-paced, customer service and animal welfare oriented position, the Timmins & District Humane Society (TDHS) Receptionist-Adoption Coordinator is the face in helping companion animals find their fur-ever homes. This position is responsible for greeting and serving clientele; answering telephone and electronic communications; animal surrenders; stray animal admissions and pound releases; donations; animal welfare education/information; and various other administrative duties. They also assist in the day-to-day care of animals in a limited capacity and/or as needed.

Individuals must be available to work certain holidays, as well as overtime, as needed. Individuals must also be available for on-call/emergency after hours service occurring on a rotational basis.

Schedule

Regular Shifts:

  • Monday,Wednesday, Friday: 8:30am to 5:00pm
  • Tuesday,Thursday: 9:30am to 6:00pm

Shift Hours: 7.5hrs

Start Date: Immediately

Regular Rate of Pay: $20.50 per hour (3 months probationary period)

$22.00 / hour (regular rate after probation)

On-Call Rate of Pay: $1/hr plus time and a half regular rate of pay for any call outs.

Vacation: Two (2) weeks of paid vacation per year.

ESSENTIAL FUNCTIONS
  • Greets and assists clientele attending the shelter.
  • Attends to various communication formats (i.e. answering telephone, responding to emails, etc.).
  • Coordinates pet adoption services, which include but are not limited to: adoption inquiries; adoption application process; educate and support adoptive families; and manage and schedule foster-to-adopt animal care related appointments.
  • Assists clientele with matters involving stray, lost, aggressive, ill and/or injured animals; admits strays and animal surrenders; performs pound releases; admits and assists with sick/injured/compromised animals for end-of-life procedures.
  • Responsible for relevant administrative and data-entry duties associated with adoptions, animal care, surrenders, and pound services.
  • Communicates and works with shelter veterinary team regarding any identified health problems or concerns regarding shelter and/or foster-to-adopt animals.
  • Maintain reception area in a clean and organized manner at all times.
  • Responsible for financial transactions, invoicing, related documentation and use of POS machine.
  • Manages sale of City of Timmins dog and cat licenses and related records.
  • Provides education/information regarding animal welfare and/or municipal animal control bylaws.
  • Works with and supports local animal control officers.
  • Assist and/or support in humane and/or public animal euthanasias.
  • Completes emergency after hours duties which entails responding to animal control admissions; impoundment releases; foster-to-adopt home inquiries; animal care duties; and/or emergency euthanasias.
  • Provides education, support and assistance to volunteers.
  • Promptly reports any safety, animal care, clientele related issues or concerns to the Executive Director or their designate.
  • Abide by all TDHS policies and procedures.
  • Works in compliance with the Occupational Health and Safety Act and Bill 168 (Violence and Harassment in the Workplace).
  • Attend to other duties as deemed necessary by the Executive Director or their designate.
QUALIFICATIONS AND SKILLS
  • Possess a genuine interest and compassion for animals that translates to being their champion and advocate in all matters of animal welfare.
  • Possess excellent command of the English language, both verbal and written. The ability to speak French is considered a strong asset.
  • Possess education and/or relevant experience in areas of clerical, administrative, and/or customer service work.
  • Possess a strong understanding of Microsoft Outlook, Word, and Excel. Knowledge of Microsoft Access would be considered an asset.
  • Possess strong interpersonal and conflict resolution skills.
  • Possess excellent time-management and organizational skills in order to complete assigned tasks in timely manner and to a high standard.
  • Possess the ability to problem-solve quickly, be adaptable to unexpected changes/demands, and work well under pressure.
  • Must be dependable and reliable.
  • Possess the ability to learn quickly.
  • Possess experience, skills and/or training in dealing with stressful and/or emotionally charged situations.
  • Possess the ability to work in both a team and/or independent environment.
  • Possess the ability to take the initiative on tasks and/or ideas that benefit the animals and TDHS as a whole.
  • Must be able to commit to a regular work schedule, with occasional overtime, as needed.
  • Must be available to work some weekends and holidays, as needed.
  • Must not have allergies limiting or affecting the ability to care/interact with animals.
  • Must not have any physical limitations that would impede the ability to complete identified work responsibilities (i.e. ability to lift 30lbs or over; be on their feet most of the day).
  • Must provide a clean and current Level 2 Criminal Record Check.
  • Education and/or relevant experience in animal care and animal handling would be considered assets.
