Job Description

The Operations Coordinator is a hands‑on support role that assists the District Manager with the day‑to‑day management of multiple remote hospitality projects across Northern Canada (NWT and NU). This position is responsible for building and maintaining staff schedules, coordinating personnel requirements, managing HR administration and payroll, and providing additional operational support as needed. The Coordinator will work closely with project teams to ensure smooth schedule execution, compliance with company and client standards, and effective communication across all levels. This role is designed as a developmental pathway to the Operations Manager position.


Ideal candidates will have experience in remote camp or project environments, strong organizational and interpersonal skills, and the ability to thrive in challenging, dynamic settings. Willingness to travel for extended periods and work weekends is essential. This is a field based hands on, site based position.



Responsibilities


Personnel & HR Administration


  • Build, maintain, and adjust staff schedules for multiple sites

  • Coordinate daily/rotation schedules and crew changes; maintain accurate rosters and rooming lists

  • Support recruitment, onboarding, and training of project staff

  • Assist with payroll processing, timesheet collection, and overtime approvals

  • Maintain employee records, certifications, and compliance documentation

  • Liaise with HR for policy updates, benefits, and employee relations



Operational Support & Administration


  • Assist the District Manager with project planning, reporting, and KPI tracking

  • Prepare and reconcile travel manifests; coordinate logistics for fly‑in/fly‑out rotations

  • Support purchasing, inventory, and supply chain management

  • Compile and submit incident reports, audits, and corrective actions

  • Ensure compliance with Health & Safety, Environmental, and Quality standards



Project Coordination & Communication


  • Facilitate communication between site teams, management, and clients

  • Draft meeting agendas, capture minutes, and follow up on action items

  • Support the implementation of process improvements and operational initiatives

  • Provide real‑time updates and data to the District Manager and project stakeholders



Development & Leadership


  • Actively participate in leadership development and training programs

  • Demonstrate initiative and problem‑solving skills in daily operations



Physical Demands


  • Extended periods of standing, walking, and on‑site presence in remote locations.

  • Ability to lift, carry, and move items up to 40–50 lbs.

  • Work in varying environmental conditions, including extreme weather.

  • Travel to multiple sites, including fly‑in/fly‑out locations.



Qualifications


  • Post‑secondary education from an accredited university or college.

  • Experience in hospitality, remote camp, or project operations

  • Strong client service focus with excellent interpersonal and communication skills

  • Proficient in Microsoft Office Suite and operational management tools

  • Understanding Health & Safety compliance

  • Ability to work independently with minimal direct supervision during remote shifts

  • Cultural sensitivity and adaptability in diverse team environments, including collaboration with Indigenous and Inuit staff

  • Minimum 2‑3 years of relevant experience in a remote camp, hospitality, or project coordination

  • Post‑secondary education in business, hospitality, or a related discipline preferred.

  • WHMIS and other relevant safety certifications (or willingness to obtain).

  • Valid driver’s license and ability to travel as required.
