Your responsibilities as Office Manager
- Manage and support the CSR team to ensure excellent customer communication, including order confirmations, backorders / substitutions, and shipping timelines; act as the first point of contact for troubleshooting customer or order-related issues.
- Ensure all orders are properly confirmed, pick slips are printed, filed, and ready for the warehouse team to process.
- Manage AR functions including sending statements, generating reports, and coordinating with Finance using tools like Power BI.
- Handle high-volume invoicing for major clients through online portals, ensuring timely and accurate processing for over 100 individual store orders.
- Oversee the flow of shipping, invoicing, and service documents, ensuring proper tracking, matching, and filing across departments and systems.
- Supervise cash handling, till balancing, and bank deposits; monitor cheque and credit card logs, ensuring accuracy and proper documentation.
- Collaborate with the warehouse, service, and sales teams to resolve issues, manage quotes, and ensure proper tracking of items, credit memos, and returns.
- Support company growth by adapting office operations to meet increasing sales volume, while maintaining accuracy and customer satisfaction.
What we’re looking for in an Office Manager
- Must be able to manage complex workflows, stay on top of paperwork and ensure consistency and efficiency in daily tasks.
- Experience in managing Accounts Receivable and Payable within a fast-paced environment. Previous experience in a similar paper flow / distribution setting is ideal; food industry experience is a plus.
- Proven ability to work with and lead a small team.
- A people person with a collaborative mindset, able to maintain a positive, team-oriented culture with minimal conflict.
- Understands and can adapt to the seasonal flow of the business – able to plan clean-up and organization during slower months and manage high volume during peak periods.
- A valid driver’s license and access to a vehicle are required.
