Career Opportunity: Member Network Coordinator

Purpose of role: Reporting to the Manager, Member Governance, the Member Network Coordinator will support the Member Governance Team in the management and administration of Foresters Member Network (volunteer governing body) which operates in Canada, the United States and United Kingdom. This role is essential in fostering relationships with customers who are volunteer leaders.

This role requires flexible working hours as volunteer leader meetings are held virtually during evening hours and on weekends. This is a full‑time remote role and can be based in Canada or US. As this role may include occasional international travel, a valid passport is required.

Job Description – Key Responsibilities
  • Provide first‑line customer service
  • Set up meetings on virtual platforms
  • Coordinate, attend, and provide staff support on volunteer leader evening meetings
  • Prepare communications, meeting materials, minutes and additional resource documents based on provided templates
  • Distribute meeting materials and minutes via email and virtual platform
  • Serve as a first point of contact for volunteer leaders
  • Maintain business professionalism in both oral and written communication
  • Work collaboratively with both office based and remote colleagues along with external contacts regarding team accountabilities
  • Maintain open communication with and support Governance Team in delivering governance programs
  • Support succession planning and sustainability of the member governance system by sharing feedback and observations of volunteer leaders with Governance Specialists
  • Observe and provide ongoing feedback on overall team operations for enhanced productivity and efficiencies
  • Perform other duties and administrative tasks as assigned
Key Qualifications
  • Post‑secondary education is an asset
  • 3‑5 years of experience in administration support
  • Highly organized and detail‑oriented
  • Proficient computer skills including MS Office (Word, Excel, and Outlook), internet, email and basic database knowledge
  • Experience with Microsoft Dynamics or similar Customer Relationship Management (CRM) systems is desirable
  • Experience with virtual meeting etiquette with a strong focus on active listening
  • Ability to generate trust and confidence with both team members and volunteer leaders
  • Strong communication skills, both written and oral
  • Self‑motivated, ability to set timelines to meet deadlines
  • Ability to manage multiple projects concurrently; with the flexibility to adapt to changing priorities
  • Ability to work well primarily on their own but also in a team environment with other staff on assigned roles and projects
  • Decisive with good judgment and decision‑making skills to act effectively in resolving issues which arise
  • Experience working with volunteers in a leadership capacity is preferred
  • Professional and self‑confident
  • Knowledge of fraternal benefit societies is an asset
  • Willingness and ability to work out of regular office hours including both evenings and weekends as required
