Job Description

WHAT’S THE JOB?

Based in Grande Prairie, AB, reporting to the Manager, Site Services, The Planner role focuses on planning, coordinating, and scheduling maintenance activities for camps, facilities, and field assets. This role also involves tracking all chargeable services and ensuring proper documentation is prepared and provided to facilitate client invoicing. This adds a critical financial accountability component to the position, ensuring accurate cost recovery for maintenance activities performed on behalf of clients. Reporting to the Manager, Site Services, this position plays a critical role in ensuring that site services teams operate efficiently by optimizing the use of personnel, materials, equipment, and contractor services. The regular shift for this position is Monday to Friday 8-hour workdays with the occasional field site visit.

This position is safety sensitive and requires drug, alcohol, and fit to work testing as a condition of employment.

YOUR WORK WILL INCLUDE
  • Maintenance Planning & Scheduling
    • Receive work requests from client departments and determine if work should be performed by the internal team or contractors.
    • Assign priorities to work orders in collaboration with key stakeholders and create effective maintenance schedules.
    • Coordinate resources, including labor, equipment, parts, and materials, to support various maintenance functions such as corrective and preventive maintenance.
  • Collaboration & Communication
    • Work closely with Area Maintenance Superintendents, Camp Managers, and maintenance teams to determine and implement appropriate levels of preventive maintenance.
    • Advise management on work progress and potential operational challenges to ensure the availability of resources.
    • Partner with team members to address scheduling conflicts and ensure deadlines are met while stabilizing schedules for operational efficiency.
    • Collaborate with operational managers to understand and address client-specific concerns or unique site requirements.
    • Identify any client requests that fall outside the scope of the existing contract.
  • Data Management & Analysis
    • Identify assets requiring preventive maintenance within the Computerized Maintenance Management System (CMMS) based on location and other criteria.
    • Create, update, and close work orders with appropriate schedules and due dates.
    • Analyze results from completed preventive maintenance to refine asset inspection plans for the following year.
    • Conduct cost analyses on maintenance activities to support budgeting and forecasting processes.
    • Maintaining accurate records of all chargeable services performed.
    • Compiling and organizing necessary paperwork to support invoicing processes.
  • Process Improvement
    • Continuously refine maintenance planning and scheduling processes by incorporating feedback and lessons learned from executed tasks.
    • Identify and implement system and procedural improvements to enhance planning efficiency.
  • Reporting & Documentation
    • Utilize the CMMS to track maintenance activities and produce standard reports on key performance indicators (KPIs) as required.
    • Ensure that out-of-scope requests are documented, approved by relevant stakeholders, and billed back to the client appropriately.
    • Provide detailed records and documentation of completed work to ensure accurate invoicing for chargeable services.
  • Safety And Other Responsibilities
    • Report safety concerns promptly and take corrective action as needed.
    • Identify and mitigate potential safety risks associated with maintenance work.

Qualifications

WHO ARE WE LOOKING FOR?

  • Post-secondary diploma or degree, a Journeyman tradesperson or a combination of relevant work experience. A combination of relevant work experience may be considered in lieu of formal education.
  • Proficiency in at least one Computerized Maintenance Management System (CMMS) (e.g., Maintenance Connection, Maximo, SAP) and familiarity with database applications is an asset.
  • Advanced skills in Microsoft Office programs (Excel, Word, Outlook, etc.).
  • Strong planning, prioritization, and execution skills to handle multiple tasks effectively.
  • Exceptional problem identification and resolution skills to address challenges promptly.
  • Ability to lead meetings and communicate effectively with diverse teams and stakeholders.
  • Must possess a valid driver’s license and be flexible to travel.
