Laboratory Administrative Assistant

Department: Laboratory

Reports To: Laboratory Director

Location: Vancouver

Work Schedule: Monday – Friday. 7.5 hours/day, 37.5 hours/week

Overview

Supporting the Vision, Values, Purpose, and Commitment of Olive Fertility Centre: Reporting to the Laboratory Director, the Laboratory Administrative Assistant is pivotal to the organization – this role focuses on providing confidential administrative support for the lab and our patients. This role will be supervised on a day-to-day basis by the Andrology supervisor and other laboratory staff.

Key Areas of Involvement Include
  • Organize the shipping and receipt of embryos, eggs, and sperm.
    • Track all shipments out to ensure safe arrival.
    • Enter patients into EMR if not already present.
    • Ensure all shipping consents are signed and witnesses/notarized.
    • Ensure all infectious disease results have been received – follow up with patients and/or clinic for any missing results.
    • Confirm paperwork with embryologists and doctor before approving shipment.
    • Notify lab team of incoming shipments so lab staff are available for unpacking and tracking.
  • Discards – Handles all communication, appointments, paperwork, consent signing, and communication with patients and appropriate staff.
  • Manages all PGT-A & PGT-M results for treatment cycles, GCs, physicians, patients, and staff.
  • Chart prep and review for Andrology & Embryology patients.
  • Attend and participate in all Laboratory Department meetings.
  • Catalogue all Embryology & Andrology records both digitally and physically.
  • Review consent forms with patients and follow up on missing consent forms and other documentation.
  • Reviewing laboratory consent forms and sending consent forms to patients.
  • Assist with packing and shipping of biological substances.
  • Record keeping for all Andrology and Embryology specimens & reports.
  • Perform other related duties as assigned.
Qualifications
Education, Training and Experience
  • Grade 12 graduation, completion of the Medical Office Assistant certification program plus two (2) years recent, related experience or an equivalent combination of education, training, and experience.

  • Proficient in Microsoft Office, experience with EMR, and able to type 60 WPM.
  • Ability to speak and write fluently in English.
  • Physically able to carry out the duties of the role.

Job Types: Full-time, Fixed term contract
