What you can expect to do with us

You will be responsible for managing all aspects of proposal preparation, from opportunities intake planning through to submission and post-submission stages, including :

  • Manage all aspects of proposal preparation, ensuring activities align with operational objectives, meet quality standards and deadlines.
  • Support the opportunity intake planning process.
  • Analyze bid dossiers and gather requirements to ensure service offer compliance. Contribute to identifying risks and issues related to proposal preparation.
  • Request information required to meet administrative and regulatory requirements.
  • Ensure contributions from each discipline or business unit are clearly documented and communicated, and follow up on content. Engage other proposals team members as needed.
  • Manage and process information from different disciplines so the service offer meets internal presentation standards while facilitating cross-service communication.
  • Contribute directly to drafting, reviewing and formatting proposal content, including CVs and team bios, ensuring consistency in tone, formatting and branding.
  • Keep documentation up to date and well organized, maintain version control and systematic archiving. Act as the point of contact for document exchange between the company and client.
  • Organize and prepare documents for meetings (kick-off, proposal reviews, client presentations during and after submission).
  • Plan and organize internal approvals and signature collection, then prepare related documents.
  • Support pre-offer planning activities.
  • Monitor assigned proposals until outcome is known, initiate post-mortem and project dossier creation if applicable, and prepare presentations and documents for the service offer or negotiation phase.
  • Manage multiple proposals simultaneously, depending on size and complexity, including prequalifications and information requests.
  • Perform other duties as required.
What you will bring to WSP
  • At least eight years of experience in proposal development or a similar field; ability to work with diverse stakeholders
  • Experience with proposals in a engineering consulting or professional services firm
  • Strong teamwork, motivation, flexibility and initiative to go beyond the task; ability to manage changing priorities in a multitask environment with tight deadlines
  • Proven ability to meet tight deadlines while maintaining high quality standards and attention to detail
  • Excellent writing skills : detail-oriented, ability to proofread and edit documents, and capacity to understand technical terminology
  • Asset : ability to organize, present and validate bid submissions
  • Asset : good understanding of legal terminology
  • Excellent computer skills, especially with Microsoft Office and SharePoint
  • Ability to adapt to a flexible work environment and time zones
