These companies operate at a fast pace, handling both creative and high-level strategic initiatives.

About the Role

The Executive & Personal Assistant will play a key role in supporting these businesses by providing seamless administrative and organizational assistance across both professional and personal areas. This position is best suited for someone who thrives in a support role, enjoys working behind the scenes, and can adapt quickly to shifting priorities in a dynamic environment. Ultimately this is a support role and the singular mandate is to identify and exploit opportunities to increase the employers operational efficacy and bandwidth.

What You’ll Do
  • Schedule & Calendar Management
  • Organize a complex and busy calendar interfacing with several teams.
  • Ensure meetings are efficiently scheduled and time is optimized.
  • Anticipate conflicts and proactively adjust as needed.
  • Project & Administrative Support
  • Provide administrative support across multiple companies.
  • Help track priorities, deadlines, and follow-ups.
  • Manage shifting projects and respond to last-minute high-level needs.
  • Personal Assistance
  • Coordinate travel arrangements
  • Ensuring that personal and professional priorities are functioning in harmony for employer.
  • Ensuring start and end of work day are observed and not exceeded when possible.
  • Ensure employer eats.
  • Work to enforce health and wellness goals
  • Miscellaneous personal tasks to ensure employer is always focused on the highest value tasks
What We’re Looking For
  • A detail-oriented, proactive multitasker who thrives on organization and problem-solving.
  • Strong administrative background; experience supporting a C-level executive is preferred.
  • Someone who enjoys being in a support role and takes pride in making operations run smoothly.
  • Flexible and adaptable – you can manage shifting priorities and tight deadlines.
  • Comfortable using Apple computers and productivity tools
  • Toronto-based (local presence is required).
