Position Summary

The Executive Assistant provides high-level administrative support to senior executives, ensuring smooth day-to-day operations. This role requires excellent organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced environment. The Executive Assistant acts as a gatekeeper, problem solver, and liaison between executives, staff, and external stakeholders.

This role is best suited for a self-starter who is looking to be part of a dynamic team and who appreciates a diverse, collaborative work environment.

Responsibilities
  • Executive Support
    • Manage executive calendars, including scheduling meetings, appointments, and travel.
    • Screen, prioritize, and respond to emails, phone calls, and correspondence.
    • Prepare meeting agendas, presentations, and briefing materials.
    • Take minutes, track follow-ups, and ensure timely completion of action items.
  • Communication & Liaison
    • Serve as the primary point of contact for internal and external stakeholders.
    • Draft and edit correspondence, reports, and official documents.
    • Coordinate communication between executives and departments.
  • Project & Task Management
    • Support special projects, ensuring timelines and deliverables are met.
    • Conduct research, gather data, and prepare reports.
    • Track deadlines and manage executive priorities.
  • Office & Administrative Management
    • Organize and maintain files (electronic and paper).
    • Process expenses, invoices, and reimbursements.
    • Coordinate logistics for events, board meetings, or team offsites.
  • Confidentiality & Professionalism
    • Handle sensitive information with discretion and maintain confidentiality.
    • Represent the executive with professionalism in all interactions.
Skills & Qualifications
  • Proven experience as an Executive Assistant, Administrative Assistant, or similar role.
  • Strong organizational and time-management skills with attention to detail.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office / Google Workspace and scheduling tools.
  • Ability to multitask, prioritize, and work independently.
  • Discretion and professionalism in handling confidential information.

The role is structured as a four-day workweek (Monday – Thursday) with required in-office presence.
