Position Description

In the role as the Program Administrator (PA), you will provide administrative support to the Program Director (PD) and trainees, to ensure success in the residency program. The PA role is integral in ensuring the timely registration of trainees, accurate maintenance of files, administration of schedules, and assessments/evaluations. The PA assists in organizing committee meetings and documentation thereof. PAs also support and assist in coordinating the trainee selection/recruitment process, the accreditation process, and scheduling of teaching activities. Program Administrators act as a first point of contact to trainees in providing general support and leading them to the appropriate services required.

Rotation / Shifts

Days, 8-hour shifts

Basic Requirements
  • 3 years of relevant work experience, preferably in health care or educational setting
  • Strong communication and interpersonal skills
  • Experience with scheduling (meetings, events)
  • Experience in project management
  • Experience in Microsoft OfficeAbility to manage multiple projects at the same time
  • Excellent organizational and management skills
  • Ability to work under pressure with minimum supervision
  • Demonstrate critical reasoning skills
  • Efficient time management
  • Knowledge of University and hospital policies and procedures i.e. privacy policy, travel policy, department of medicine code of conduct regarding relationships with industry
  • Skills in building and maintaining relationships with internal and external clients
  • Knowledge of governing bodies policies and procedures (Royal College of Physicians and Surgeons of Canada, Royal College of Physicians and Surgeons of Ontario)
  • Superior verbal and written communication skills are required, including the ability to respond to inquiries with diplomacy and sensitivity
  • Ability to take initiative and exercise independent judgment
  • Must be eligible to work in Canada
Preferred Qualifications
  • Experience with educational planning
  • Proficiency in English and French - oral expression (advanced level) and comprehension (advanced level).
