Rivn Group is a Calgary-based real estate investment and management firm focused on disciplined ownership, operational precision, and capital-efficient value creation. We are launching with three office buildings in the Beltline/downtown, with plans to scale.
Position Overview
The Property Manager is responsible for the day-to-day management of Rivn’s commercial office portfolio. This includes tenant relations, vendor management and coordination, financial oversight, and leasing coordination. The ideal candidate is hands‑on, technically capable, organized, and comfortable interacting with tenants, contractors, and ownership.
You will oversee daily operations, vendor management, tenant services, basic leasing support, and coordination of small capital projects. This role is ideal for a driven individual who wants broad exposure and career growth within a fast‑scaling owner‑operator platform.
Key Responsibilities
1. Tenant Relations & Communications
- Serve as the primary point of contact for all tenant interactions, questions, concerns, and service requests.
- Maintain strong tenant relationships through regular communication, proactive follow‑ups, and professionalism.
- Ensure tenants understand lease obligations and support them in navigating building rules and procedures.
- Coordinate tenant move‑ins/outs and maintain accurate documentation of tenant issues and resolutions.
2. Property Operations Oversight
- Oversee day‑to‑day property operations in coordination with the Building Operations & Maintenance Manager.
- Review service requests, maintenance priorities, and contractor performance.
- Ensure service levels align with Rivn standards and tenant expectations.
- Escalate operational issues to ownership as required.
3. Vendor & Contractor Management
- Coordinate and supervise service providers (HVAC, plumbing, electrical, janitorial, security, landscaping, snow removal).
- Obtain pricing and quotes, negotiate service agreements, and ensure work is completed to Rivn standards.
- Manage repair requests, seasonal maintenance, and ensure compliance with safety and environmental standards.
4. Leasing Support
- Assist ownership in maintaining show‑ready vacant suites.
- Support leasing efforts by coordinating tours, preparing spaces, and relaying inquiries.
- Work directly with prospective tenants and brokers to provide access and information.
- Assist with landlord work and tenant improvements coordination.
5. Financial, Budgeting & Reporting
- Assist with preparing monthly operations summaries, variance notes, and invoicing support.
- Accurately code and approve supplier invoices; maintain documentation and digital records.
- Support accounts receivable follow‑up and rent collection in coordination with accounting.
- Provide input into annual operating and capital budgets.
6. Capital Projects & Construction Support
- Assist ownership in planning and executing capital projects and tenant improvements.
- Liaise with contractors, obtain pricing, monitor progress, and ensure timely completion.
- Maintain equipment life‑cycle data and help track long‑term asset plans.
Qualifications
Required
- 3–7 years in property management, building operations, or a related commercial real estate role.
- Strong communication skills and comfort dealing directly with tenants and contractors.
- Ability to self‑manage, prioritize, and adapt to changing needs.
- Proficiency with Microsoft Office; ability to learn PM/accounting software quickly.
- Valid driver’s licence.
Assets (Nice‑to‑have)
- RECA licence in property management.
- Experience in office leasing support, brokerage interaction, or landlord’s work.
- Experience preparing budgets or working with accounting teams.
- Experience coordinating small construction projects.
- Yardi or similar property management software familiarity.
- Working knowledge of building systems.
