Job description
Overview

We are seeking a detail-oriented, self-directed Administrative Assistant to support our CFO and leadership team. This role focuses on bookkeeping, data accuracy, and financial administration, while also providing support across multiple business systems. The successful candidate will be comfortable managing numbers, spotting discrepancies, and finding solutions to keep our operations running smoothly. Responsibilities


  • Perform daily bookkeeping and data entry for sales, expenses, and inventory

  • Ensure timely and accurate financial records in QuickBooks Online

  • Conduct regular bank and credit card reconciliations

  • Assist with accounts payable / receivable and payroll processing under the CFO’s guidance

  • Prepare financial summaries and reports for CFO review

  • Investigate discrepancies and recommend solutions

  • Work with cross-functional teams (brewing, restaurant, warehouse, sales) to ensure financial data flows correctly into business systems

  • Use and support integrations across platforms including Dext, EKOS (brewing), WHISK (restaurant inventory), and Toast (POS), and be comfortable learning and optimizing multiple systems

  • Identify opportunities to streamline financial processes and improve efficiency

  • Manage order entry for commercial accounts through Order Desk

  • Liaise with suppliers, distributors, and commercial accounts to ensure accurate financial reporting and payment coordination

  • Support the CFO in budgeting, forecasting, and financial analysis projects


Qualifications


  • Proven experience in bookkeeping, accounting support, or a similar role (hospitality / retail / manufacturing an asset)

  • Strong understanding of basic accounting principles

  • Proficiency with accounting software (QuickBooks Online preferred)

  • Experience with POS and inventory systems (EKOS, WHISK, Toast, or similar)

  • Advanced attention to detail and high degree of accuracy

  • Strong math, analytical, and problem-solving skills

  • Ability to work independently and stay self-directed with minimal supervision

  • Excellent organizational and time-management skills

  • Effective written and verbal communication skills

  • Diploma, certification, or coursework in accounting / finance is considered an asset

  • Proficiency in Microsoft Office or Google Suite
