Responsibilities:
- Analyze client requests regardless of complexity and make recommendations based on specific travel needs, with technical support from other Consultants and/or Managers
- Ensure that all open requests are correct, complete and updated in the system, using the system's functionalities to ensure maximization of productivity
- Ensure appropriate logistics for passports and other documents related to applications, ensuring correct checking, control, sending, collection and return
- Process fees and enter payment information into the system according to departmental procedures
- Perform necessary operational controls of the department, ensuring adequate management of resources for fee payments and reporting to the finance department when necessary
- Register clients and/or fill out specific forms on consulate portals according to visa application needs, as required
- Conduct document translation, legalization and apostille activities in accordance with departmental procedures, as required
- Serve customers in person (in the office or externally), by phone calls, and respond to emails within the established deadlines
- Update departmental technical manuals whenever necessary and contribute to the training of other team members
- Adhere to expectations pertaining to quantitative metrics including, but not limited to: number of completed requests, variation in number of requests, submission for billing, and customer satisfaction
- Represent CIBT in a professional manner, ensuring compliance with the Ethics/Compliance policy and adhering to company policies and procedures
- Perform other tasks as assigned by management
Required Qualifications:
- Completed higher education in Administration, Law, International Relations, Foreign Trade or Tourism
- Prior professional experience conducting administrative/bureaucratic activities, and/or customer service
- Previous experience in Travel Services demonstrating in-depth knowledge in at least two countries preferred
- Ability to train other team members with less seniority
- Excellent attention to detail with a dedication to accuracy and efficiency
- Ability to effectively perform in a fast-paced, team-oriented environment
- Ability to communicate clearly and concisely with internal and external stakeholders
