Job description

Administration duties, including, but not limited to

Administrative support to our Middle East team

Calendar management / scheduling; arranging meetings, breakfast / lunch / dinner meetings, scheduling conference calls

Booking taxis

Coordinating team travel arrangements and regional roadshows across the region and to other Hamilton Lane offices

Liaise with other Team Assistants in Hamilton Lane offices to coordinate schedules for visitors from other offices

Supporting special projects and event coordination

Fulfilling routine administrative requests such as printing, copying, mailing and replying to client enquiries

Managing and submitting expense reports for the team

Liaising with Accounts Payable on invoices

Managing the administration of new vendor contracts in Process Unity

Ad hoc administration and tasks as required

Office Manager Duties, Including, But Not Limited To

Working with the DIFC and DFSA on office related matters

Liaison with building management and security, including booking in guests

Meeting and greeting guests, making refreshments and clearing rooms following meetings

Managing office supplies and other office requirements

Ensuring the tidy upkeep of an orderly office

Handle incoming calls

Your Background And Skills Will Include

Fluency in English speaking and writing essential

3-5 years of experience in a similar role

Excellent written and verbal communication skills

Proficient with Microsoft Office programs (Outlook, Word, Excel, Power Point)

Knowledge of financial services industry and willingness to learn

Strong work ethic, positive attitude, and good judgement

Desire to work as part of a team with a strong focus on client needs

Strong organizational skills

Ability to manage projects effectively and on-time in a fast-paced environment

Ability to work under pressure and handle multiple tasks / assignments

Reliable and ability to exercise discretion and maintain confidentiality

University degree desirable
