Job description
Job Purpose

To provide strategic leadership and expert oversight in the planning, development, and execution of all protocol, ceremonial, and VIP hospitality activities. This role is responsible for ensuring all official functions, visits, and events are conducted with the highest standards of professionalism, cultural sensitivity, and efficiency, thereby enhancing the department's reputation and strengthening its institutional relationships.

Key Responsibilities & Duties

Strategic Leadership & Planning:

  • Develop, implement, and continuously refine the department's protocol and ceremony policies, procedures, and manuals.
  • Lead the strategic planning and execution of all high-profile visits, ceremonial events, signings, and ensuring alignment with the department's strategic objectives.
  • Develop and monitor key performance indicators (KPIs) for the protocol function, reporting on effectiveness and areas for improvement.

VIP & Delegation Management:

  • Act as the principal point of contact and advisor for all VIP delegations, ensuring a seamless and prestigious experience from arrival to departure.
  • Personally oversee and coordinate complex itineraries for visiting dignitaries, including logistics, transportation, security liaison, and hotel accommodations.
  • Lead the reception and farewell ceremonies for official delegations, serving as the official escort and ensuring all needs are met with discretion and efficiency.

Stakeholder Engagement & Coordination:

  • Foster and manage critical relationships with key internal and external stakeholders, including government entities, semi-governmental bodies, strategic partners, and security agencies.
  • Coordinate closely with security authorities to ensure comprehensive protection and smooth passage for all visiting delegations.
  • Liaise with government agencies to stay abreast of the latest changes in laws and procedures affecting protocol activities.

Operational Excellence:

  • Direct the end-to-end management of events, including signing ceremonies, and official visits, ensuring flawless execution.
  • Oversee the issuance of special permits, VIP transportation, and hotel reservations, guaranteeing the highest standards of hospitality.
  • Manage the process for visit visas and other entry formalities for official guests.

Team Leadership & Development:

  • Provide guidance and mentorship to junior protocol staff and cross-functional teams involved in events and visits.
  • Conduct regular awareness workshops and training sessions for departmental staff on protocol guidelines and international etiquette.

Qualifications & Experience:

  • Education: Bachelor’s degree in International Relations, Communications, Public Administration, Business Administration, or a related field.
  • Experience: A minimum of 6 years of progressive experience in a high-level protocol, diplomatic service, or international relations role, with at least 2-3 years in a supervisory or team leadership capacity.
  • Proven track record of successfully managing high-level VIP visits and large-scale ceremonial events.
