Overview

We are looking to hire a Project Coordinator who will be responsible for overseeing the preparation, validation, and migration of legacy project portfolio data from the current Project Portfolio Management (PPM) system to a new enterprise platform, ensuring data accuracy and integrity throughout the process. The ideal candidate will be working closely with project teams and the system vendor and ensure accurate reporting and PMO governance continue without disruption for our client based in Dubai - which is one of the largest companies in the region.

This position is a contract role with an initial duration of 12 months and is renewable.

The role sits within the Project Management Office and reports directly to the Head – PMO.

We are looking for a passionate Project Coordinator; you should also have experience in ensuring the integrity of financial schedules and system migration including batch imports and exports. The role ensures the accuracy, completeness, and integrity of financial, schedule, and performance data through structured validation, reconciliation, and stakeholder engagement before and during the migration process.

Key responsibilities
  • Project Coordination and Support - Coordinate day-to-day project activities, meetings, and communications. Support project managers in tracking progress against scope, schedule, and budget. Maintain project plans, logs, and registers (risks, issues, actions, changes).
  • Data migration Coordinate the migration of validated and approved data from the legacy system to the new platform, ensuring that data quality checks are completed prior to migration. Support the design and alignment of data structures and fields to ensure readiness for migration. Collaborate with the system vendor to manage test data exports and imports, and validate post-migration data accuracy, reports, and outputs.
  • Data Management and Reporting – Collect, validate, and consolidate project data for accurate reporting. Support preparation of project and portfolio reports, dashboards, and presentations. Perform basic financial and schedule checks to identify variances and discrepancies.
  • Documentation and Governance – Maintain project documentation in line with PMO standards and controls. Assist in the preparation of governance materials for reviews and approvals. Ensure version control and proper filing of project records.
  • Stakeholder Management – Liaise with internal stakeholders to obtain required project inputs and updates. Coordinate meetings, workshops, and follow-ups to support project delivery. Capture and track stakeholder actions and decisions.
  • Templates and Process Support – Support the development and maintenance of project templates and tools. Ensure alignment with PMO methodologies, reporting standards, and best practices. Contribute to continuous improvement of project processes and controls.
Knowledge, skills & experience
  • Bachelor’s degree in finance, business, Economics or related field
  • 3-5 years of experience, preferably in real estate.
  • Solid understanding of finance functions and processes.
  • Experience in coordination and validation of information with ERP platforms such as Oracle.
  • Excellent verbal and written communication skills, problem solving skills, and attention to detail
  • Proficient in the use of Microsoft Office applications including Excel, Word & PowerPoint.

Preference will be given to candidates available immediately or a maximum 30 days after accepting the offer.
