Job description

We are seeking a Procurement Officer to manage the sourcing, negotiation, and purchase of products and services for the company. The ideal candidate will build and maintain strong supplier relationships, ensure product quality and availability, and implement cost‑saving initiatives. This role requires close collaboration with internal departments to fulfil procurement needs while ensuring compliance with company policies and regulations.

Roles & Responsibilities
  • Manage the procurement of a wide range of goods and services to meet the operational needs and requirements of the company.
  • Receive and evaluate Requisitions
  • Identify, evaluate, and select the optimal suppliers to source products and services that meet the company's quality, cost, and sustainability criteria.
  • Conduct cost analysis and set appropriate benchmarks.
  • Negotiate prices, terms, and contracts with suppliers to ensure the best possible cost, quality, and delivery conditions
  • Prepare POs and obtain approvals as per Company’s authority Matrix
  • Ensure continuous supply of required goods and materials and communicate any supply problems which may pose a risk or impact on business operations.
  • Develop and maintain strong relationships with suppliers.
  • Monitor and evaluate supplier performance
  • Identify, address, and resolve any quality issue or disputes that may arise with suppliers and implement corrective actions when necessary.
  • Follow supplier vetting procedures and due diligence in accordance with RA procedures and regulations.
  • Work closely with other departments to align purchasing decisions with broader company strategies.
  • Coordinate with Planning, Logistics and warehousing teams for timely delivery of goods and services to the projects/operating areas.
  • Collaborate with the finance team to reconcile invoices and payments.
  • Provide insights and reports to Procurement Manager regarding market trends, cost saving/increase, product/service performance, and strategic opportunities.
  • Perform Annual Supplier evaluation report/scoring
  • Maintain clear and organized records to ensure all quotations, reports, vendor documents and any other procurement related records are filed and stored properly as per RA procedures.
  • Incorporate sustainability and ethical considerations into buying decisions, aiming to reduce environmental impact and ensure fair and ethical procurement practices in the supply chain.
  • Ensure compliance with the company's policies and regulatory standards.
Qualifications & Requirements
  • Bachelor's degree in supply chain management, business administration, finance, or other related field
  • 5+ years proven previous experience in Procurement
  • Previous experience in humanitarian supplies would be considered an added advantage
  • Ability to work under pressure in a fast‑paced environment.
  • Excellent communication and collaboration with other departments.
  • Financial acumen to manage costs and budgets effectively.
