The Role

We are seeking a discreet, highly organized International Personal Assistant to support a senior executive/entrepreneur who operates across multiple countries. This role is both strategic and operational, requiring frequent international travel, mastery of global logistics, and an understanding of diplomatic protocol when dealing with government leaders and senior stakeholders.

Responsibilities
  • Diplomatic Coordination: Manage complex travel arrangements for high-level engagements, ensuring all protocol requirements are met
  • Schedule Management: Orchestrate calendars and meetings across multiple time zones, including interactions with government officials and political leaders
  • Confidential Gatekeeping: Screen calls, emails, and visitors with tact, discretion, and cultural sensitivity
  • Preparation & Briefing: Compile detailed briefing notes, reports, and presentations for meetings with senior political and business figures
  • Research & Advisory Support: Conduct research, support speech writing, and assist with strategic project planning
  • Personal & Household Support: Handle personal errands and household coordination across multiple locations
  • Liaison Role: Act as the point of contact with international teams, vendors, and diplomatic offices
  • Representation: Uphold confidentiality and represent the principal with poise and professionalism during high-level events and state functions
Qualifications
  • 8 years’ experience as a Personal or Executive Assistant in an international, multicultural environment
  • Experience in hospitality, luxury service, diplomatic protocol, or family office support
  • Background working with UHNWIs, government leaders, or politically exposed persons
  • Outstanding organizational skills and ability to stay composed under pressure
  • High emotional intelligence, tact, and cultural sensitivity
  • Excellent written and spoken English (French or Portuguese a plus)
  • Proficiency in Microsoft Office Suite, travel booking platforms, and communication tools
  • Willingness to travel extensively and adapt to rapidly changing schedules
