Job summary

A leading company in the UAE seeks a Front Office Manager to ensure exceptional guest services and effective facility management. Responsibilities include managing reception, handling travel arrangements, overseeing mail and couriers, and ensuring office cleanliness. The ideal candidate will coordinate vendor contracts and facilitate employee engagement activities. Strong organizational skills and attention to detail are essential for maintaining seamless operations.

Responsibilities

  • Ensure availability at the reception area and welcoming guests.
  • Manage boardline calls.
  • Arrange invitation letters for employees traveling.
  • Manage travel and hotel bookings.
  • Monitor guest house housekeeping regularly.
  • Manage mail and courier dispatch and receipt.
  • Ensure all equipment is in working order.
  • Oversee car maintenance and servicing.
  • Book VC rooms and training rooms.
  • Ensure office cleanliness and supervision.
  • Track vendor contracts.
  • Manage documentation, time, and attendance.
  • Ensure smooth pantry operation and cleanliness.
  • Arrange quarterly CSR and employee engagement activities.

  • Ensuring availability at reception area and welcoming guests; Managing the boardline calls
Travel and Accommodation
  • Arranging / preparing the invitation letters for the employees travelling
  • Managing the travel and hotel bookings directly and through the HR in region
  • Arranging airport picks and drop offs
  • Booking accommodation for guests either in our guesthouse or hotels for guest
  • Monitoring guest house house-keeping regularly
Courier and Mail Management
  • Managing the dispatch and receipt of all the Mails / couriers
Facility management
  • Keep track on facility service due dates.
  • Make sure all equipments are running or working perfectly
  • Car maintenance - servicing of cars and management
  • VC rooms and training rooms booking
  • Office cleanliness, welfare, regular supervision.
  • Keep track of vendor contracts
  • Documentation, and Time and Attendance management
  • Ensuring smooth pantry operation, pantry cleanliness and guest servicing
  • Arrange quarterly CSR and employee engagement activities.
