About the Role
We are looking for a creative and highly organized Event Planner & Coordinator to plan, manage, and execute events that enhance brand visibility and customer engagement within a café and hospitality environment. This role focuses on end‑to‑end event coordination, vendor management, and delivering memorable guest experiences.
Responsibilities
- Event Planning & Execution:
- Plan, organize, and execute in‑house and off‑site events such as live music, themed nights, private parties, and corporate gatherings.
- Develop event concepts aligned with brand positioning and customer preferences.
- Manage event timelines, schedules, and logistics to ensure smooth execution.
- Vendor & Partner Coordination:
- Coordinate with vendors, entertainers, decorators, and suppliers.
- Negotiate pricing, contracts, and service deliverables.
- Ensure vendors meet quality, timing, and safety expectations.
- Budgeting & Cost Control:
- Prepare event budgets and track expenses to ensure cost efficiency.
- Monitor spending and ensure events are delivered within approved budgets.
- Evaluate event ROI and provide cost optimization suggestions.
- Marketing & Promotion Support:
- Collaborate with marketing teams to promote events through social media and in‑store channels.
- Support content creation for event promotions and post‑event engagement.
- Track attendance and customer feedback to improve future events.
- On‑Site Coordination & Guest Experience:
- Oversee on‑site event setup, execution, and breakdown.
- Act as the main point of contact during events to resolve issues promptly.
- Ensure a high‑quality guest experience and adherence to service standards.
- Reporting & Continuous Improvement:
- Prepare post‑event reports covering attendance, feedback, and outcomes.
- Gather insights to refine event planning processes and concepts.
- Maintain records of events, vendors, and performance metrics.
Qualifications
- Bachelor's degree or diploma in Event Management, Hospitality, Marketing, or related field.
- 2–5 years of experience in event planning, preferably within hospitality or F&B environments.
- Experience managing multiple events and coordinating vendors.
