About the Role

We are looking for a creative and highly organized Event Planner & Coordinator to plan, manage, and execute events that enhance brand visibility and customer engagement within a café and hospitality environment. This role focuses on end‑to‑end event coordination, vendor management, and delivering memorable guest experiences.

Responsibilities
  • Event Planning & Execution:
    • Plan, organize, and execute in‑house and off‑site events such as live music, themed nights, private parties, and corporate gatherings.
    • Develop event concepts aligned with brand positioning and customer preferences.
    • Manage event timelines, schedules, and logistics to ensure smooth execution.
  • Vendor & Partner Coordination:
    • Coordinate with vendors, entertainers, decorators, and suppliers.
    • Negotiate pricing, contracts, and service deliverables.
    • Ensure vendors meet quality, timing, and safety expectations.
  • Budgeting & Cost Control:
    • Prepare event budgets and track expenses to ensure cost efficiency.
    • Monitor spending and ensure events are delivered within approved budgets.
    • Evaluate event ROI and provide cost optimization suggestions.
  • Marketing & Promotion Support:
    • Collaborate with marketing teams to promote events through social media and in‑store channels.
    • Support content creation for event promotions and post‑event engagement.
    • Track attendance and customer feedback to improve future events.
  • On‑Site Coordination & Guest Experience:
    • Oversee on‑site event setup, execution, and breakdown.
    • Act as the main point of contact during events to resolve issues promptly.
    • Ensure a high‑quality guest experience and adherence to service standards.
  • Reporting & Continuous Improvement:
    • Prepare post‑event reports covering attendance, feedback, and outcomes.
    • Gather insights to refine event planning processes and concepts.
    • Maintain records of events, vendors, and performance metrics.
Qualifications
  • Bachelor's degree or diploma in Event Management, Hospitality, Marketing, or related field.
