Role Overview

We are a growing full-service digital marketing agency specializing in websites, social media management, and creative services. As the agency continues to scale, we are looking for a part-time, senior-level Virtual Assistant / Account Manager (Client Relations, Project Management & QA) to act as a central point of coordination between clients, contractors, and internal workflows.

This role is ideal for someone with agency or marketing operations experience who is comfortable leading communication, managing projects end-to-end, quality-checking deliverables, and ensuring an exceptional client experience.

This person will work closely with the founder and gradually take ownership of day-to-day client and project operations.

Key Responsibilities
Client & Account Management
  • Serve as the primary point of contact for client communication once projects are underway
  • Join client calls and confidently discuss:
    • Campaign direction
    • Requested changes
    • Recommendations for improving marketing performance
  • Collect, clarify, and document client feedback in a structured way
  • Follow up proactively with clients to keep projects moving
  • Deliver monthly reports and updates related to campaign performance
Project & Workflow Management
  • Manage incoming client requests via internal request forms
  • Translate client requests into clear, actionable tasks for:
    • Copywriters
    • Designers
    • Video editors
    • Web team
  • Assign tasks, track progress, and ensure deadlines are met
  • Identify bottlenecks, delays, or communication gaps and resolve them quickly
  • Provide regular summaries to the founder on project status, risks, and priorities
Quality Assurance (QA)
  • Review deliverables before client submission
  • Ensure work meets:
    • Client requirements
    • Agency standards
    • Campaign objectives
  • Coordinate revisions and ensure feedback is implemented correctly
Client Onboarding & Experience
  • Support the onboarding of new clients after a deal is closed
  • Ensure clients understand:
    • How the agency works
    • Timelines and deliverables
    • Communication expectations
  • Act as a trusted guide, especially for clients who are unsure of what they need
Light Sales Support (Warm Leads)
  • Respond to inbound leads and inquiries
  • Explain agency services, history, and capabilities
  • Assist with proposals in collaboration with the founder
  • Ensure a smooth transition from lead > signed client > onboarding
  • (Cold outreach is not required at this stage, but openness to it is a plus.)
Required Skills & Experience
  • Prior experience working in a marketing agency or similar environment
  • Strong understanding of:
    • Digital marketing workflows
    • Campaign components (web, social, content, creative)
  • Excellent written and verbal communication skills
  • Confident speaking with clients on video and phone calls
  • Assertive, professional, and comfortable setting expectations
  • Highly organized with strong follow-through
  • Able to think strategically and make recommendations to clients
Tools & Platforms
  • Experience with the following is strongly preferred:
    • ClickUp (core project management tool)
    • GoHighLevel (CRM, websites, social scheduling)
    • Google Workspace (Docs, Sheets, Drive)
    • Slack (internal communication)

$500 - $700 a month

Part-time: 20 hours per week

Time zone: Eastern Time (preferred)

Fully remote
