The Sales & Logistics Assistant provides high-level administrative, reporting, and dealer support to the Sales and Logistics functions within an automotive OEM or importer environment. The role is critical in ensuring accurate sales administration, smooth vehicle ordering and delivery processes, reliable reporting, and professional day-to-day support to the dealer network.
This is a predominantly office-based, detail-oriented role, suited to a highly organised individual with strong administrative discipline, excellent Excel skills, and the ability to coordinate between internal departments and external dealers.
Key Responsibilities
Sales Administration & Dealer Support
- Act as a primary administrative support contact for the dealer network on sales and logistics-related queries.
- Manage and track dealer vehicle orders from order placement through to delivery and invoicing.
- Maintain accurate dealer order banks, allocations, and sales trackers.
- Support dealers with documentation requirements, order confirmations, pricing schedules, and sales circulars.
- Coordinate dealer communications related to availability, lead times, delays, and delivery schedules.
- Assist with onboarding of new dealers from a sales administration perspective.
Logistics Coordination
- Support the logistics team with vehicle movement administration from port to dealer.
- Track vehicle status (in-transit, at port, in storage, released, delivered).
- Assist with delivery planning, handover scheduling, and dealer confirmations.
- Maintain accurate logistics and VIN-level tracking reports.
- Liaise with logistics service providers where required, escalating issues to management.
Reporting & Data Management
- Compile and distribute daily, weekly, and monthly sales and logistics reports.
- Maintain master sales, stock, pipeline, and delivery dashboards.
- Ensure accuracy and consistency of data across systems, reports, and presentations.
- Support month-end reporting, forecasting, and management pack preparation.
- Identify data discrepancies and proactively resolve them with relevant stakeholders.
Internal Coordination & Support
- Coordinate between Sales, Logistics, Finance, Product, and Aftersales teams to ensure aligned information flow.
- Support preparation of internal presentations, dealer reports, and management summaries.
- Assist with planning and administration for sales meetings, dealer meetings, and conferences.
- Maintain organised digital filing systems for contracts, reports, and dealer correspondence.
Compliance & Process Support
- Ensure sales and logistics processes are followed in line with company policy.
- Support audit and compliance requirements through accurate record-keeping.
- Assist in continuous improvement of administrative and reporting processes.
Key Skills & Competencies
- Strong administrative and organisational skills with high attention to detail.
- Advanced proficiency in Microsoft Excel (pivot tables, formulas, reporting dashboards).
- Good working knowledge of Microsoft PowerPoint and Outlook.
- Ability to manage multiple tasks, deadlines, and stakeholders simultaneously.
- Strong written and verbal communication skills.
- Professional, service-oriented approach when dealing with dealers.
- Analytical mindset with the ability to interpret and validate data.

Qualifications & Experience
- Diploma or Degree in Business Administration, Logistics, Supply Chain, or a related field (advantageous).
- 2–4 years’ experience in an administrative, sales support, or logistics support role.
- Automotive industry experience (OEM, importer, or dealer environment) is highly advantageous.
- Experience working with dealer networks is a strong advantage.
