Role Purpose

Provide high-impact operational governance and organisational support to the Chief People Executive (CPE), enabling effective prioritization, strategic reporting and seamless coordination of Group Human Capital initiatives. The role enhances the strategic effectiveness of the Chief People Executive by coordinating day‑to‑day activities, partnering with the Group Human Capital Project Manager and key stakeholders.

Requirements
  • Relevant bachelor’s degree in Business Administration, Human Resources, or similar.
  • 8‑10 years of experience in an Executive Assistant, Executive Business Manager or Project Coordinator role, ideally within Human Capital, People and Culture, or a corporate environment.
  • Proven experience supporting senior executives or C‑Suite leaders is essential.
  • Proven ability to handle highly sensitive, privileged and confidential information, correspondence and documents with discretion.
  • Proven experience in cross‑functional coordination, board and executive level reporting, governance structures, or Project Management Office functions is essential.
  • Strong business writing skills (reports, presentations, communication).
  • Advanced proficiency in MS Office (PowerPoint, Excel, Word) and exposure to digital collaboration tools.
  • Exposure in working with Human Capital data, analytics dashboards, and board-level reporting.
  • Project coordination or project administration experience is advantageous.
  • Operating within a high‑pressure execution environment is essential.
Duties & Responsibilities
Executive strategic support to the Chief People Executive
  • Provide comprehensive strategic support to the Chief People Executive and Human Capital Leadership forums, including preparation of meeting agendas, presentations, briefing notes and coordinating correspondence.
  • Proactively manage the Chief People Executive’s priorities, ensuring alignment between operational deliverables, strategic commitments, and project timelines.
  • Prepare content for the various internal Group Committees and Board Committee meetings.
  • Act as a trusted liaison between the Chief People Executive, senior leaders, and key stakeholders.
  • Administer aspects of media and speaking engagement preparation.
  • Manage day-to-day office administrative activities.
  • Monitor and respond to incoming communication on behalf of the Chief People Executive, where appropriate, ensuring efficiency and timeous responses.
  • Quality check and proof‑read documents.
  • Manage incoming written correspondence (paper and electronic) where appropriate.
Project Coordination
  • Partner closely with the Project Manager to track progress and reporting updates on the People Strategy initiatives.
  • Provide administrative support for the planning and execution of executive-level projects.
  • Coordinate project timelines, risks, dependencies, and status updates.
  • Ensure the Chief People Executive is briefed and prepared for all project touchpoints, steering committees, and governance forums.
  • Handle the administrative aspects of change management and project-related communication efforts, ensuring smooth coordination and timely follow‑up.
Reporting, Analysis & Pack Preparation
  • Initiate and coordinate the drafting process of people packs for all governance forums, reports and executive dashboards, by gathering related information from the teams, ensuring consistency, accuracy, and a timely draft deck to present.
  • Own the drafting and coordination of reports and presentations including:
    • Monthly Human Capital updates to HC Leadership Forums and Group Human Capital Exco’s
    • CEO Reports
    • Strategic Business Review presentations
    • Quarterly Risk Committee presentations and reports
    • Board presentations
  • Consolidate inputs from the Group Human Capital Exco team and Human Capital Executives and ensure a coherent narrative and alignment to people strategic themes.
  • Partner with the People Analytics team to coordinate the collation of people metrics data for reporting purposes.
  • Develop templates, improve reporting processes, and maintain version control of all Executive related documentation.
Stakeholder Management
  • Act as a point of contact between internal departments, external partners, and the Chief People Executive office.
  • Ensure smooth flow of communication and manage expectations with confidentiality and professionalism.
  • Build strong relationships with cross‑functional teams.
