We’re looking for a sharp, organised and instinctively proactive Executive Assistant to support the Head of Investments in Johannesburg. This role is the operational anchor for the Investments leader and plays a key part in keeping priorities, people and information flowing smoothly. What You’ll Own
Executive Support
- Serve as the primary support to the Head of Investments, managing inboxes, action items and follow-ups with precision.
- Oversee detailed diary management, coordinate meetings, schedule calls and ensure daily priorities are executed seamlessly.
- Keep relevant team calendars up to date and arrange internal and client meetings efficiently.
- Act as a point of contact for global and regional colleagues, assisting with any cross‑team requirements.
Business & Client Support
- Assist Partners and team members with ad‑hoc investment‑related tasks when needed.
- Keep the Head of Investments informed of client developments or matters that may influence decision‑making or relationships.
- Support investment marketing activities and internal communication needs.
- Prepare for meetings end‑to‑end: agenda preparation, document collation, logistics and catering.
Operations & Administration
- Manage the flow of information throughout the team quickly, accurately and confidentially.
- Prepare weekly, monthly or quarterly administrative and expense reports.
- Draft and format communication materials including presentations, memos, reports and emails.
- Maintain organised filing systems across digital and physical platforms.
- Track CPD or training requirements for the Investments team.
- Assist with expense claims, document handling, certificate management, client gift sourcing and ad‑hoc administrative needs.
- Capture clear, concise meeting minutes.
- Contribute to a positive office culture through support of internal events and committees.
Travel Coordination
- Liaise with external travel partners to arrange flights, accommodation and travel logistics for team members within the Investments division.
What You Bring
- Proven experience as an Executive Assistant, Personal Assistant or similar role within financial services or a professional environment.
- Excellent command of MS Office and confidence with modern office technologies.
- Strong written and verbal communication skills.
- High levels of discretion, confidentiality and professionalism.
- Exceptional organisational and time‑management abilities.
- Understanding of investments or the broader finance industry is a strong advantage.
- A secretarial qualification or occupational certificate is beneficial.
