Overview

Our client is seeking a highly motivated, detail-oriented, and experienced Events Co-ordinator to join their dynamic team. The successful candidate will be responsible for the end-to-end planning, execution, and management of a wide range of corporate events, including but not limited to conferences, seminars, workshops, client appreciation events, and internal staff functions.

Key Responsibilities & Duties
Event Planning and Strategy
  • Collaborate with internal stakeholders (marketing, sales, executive leadership) to define event objectives, target audience, and key messages.
  • Develop comprehensive event plans, including timelines, budgets, and resource allocation.
  • Source and secure suitable venues, vendors (catering, AV, entertainment), and suppliers, ensuring cost-effectiveness and quality.
  • Negotiate contracts with vendors and suppliers to secure favorable terms and conditions.
Event Execution and Management
  • Manage all logistical aspects of events, including registration, attendee management, speaker coordination, and on-site support.
  • Oversee event setup and teardown, ensuring all elements are in place and function as planned.
  • Act as the primary point of contact for all event-related queries from internal and external stakeholders.
  • Manage on-site event operations, troubleshooting any issues that may arise in a timely and professional manner.
  • Ensure all events adhere to health and safety regulations and company policies.
Budget Management
  • Create and manage event budgets, tracking all expenses to ensure events remain within allocated funds.
  • Provide regular financial reports and post-event budget reconciliation.
  • Identify opportunities for cost savings without compromising event quality.
Marketing and Promotion
  • Work with the marketing team to develop promotional materials, including invitations, e-mail campaigns, and social media content.
  • Manage attendee registration platforms and databases.
  • Analyse event data and provide post-event reports on attendance, feedback, and return on investment (ROI).
Stakeholder & Vendor Relations
  • Build and maintain strong relationships with internal teams and external partners.
  • Manage a network of trusted suppliers and vendors to ensure a high standard of service.
Qualifications and Experience
  • Education: A relevant commercial qualification, or a degree/diploma in Marketing or Events Management is essential.
  • Experience: A minimum of 3-5 years of proven experience as an Events Co-ordinator or similar role, specifically within the financial services, insurance, or banking sectors.
  • Knowledge: In-depth knowledge of the events management lifecycle, from concept to post-event analysis.
  • Technical Skills: Proficiency in event management software, CRM systems, and Microsoft Office Suite (Word, Excel, PowerPoint).
  • Must have a valid driver’s license and own reliable transport.
