Overview
Our client is seeking a highly motivated, detail-oriented, and experienced Events Co-ordinator to join their dynamic team. The successful candidate will be responsible for the end-to-end planning, execution, and management of a wide range of corporate events, including but not limited to conferences, seminars, workshops, client appreciation events, and internal staff functions.
Key Responsibilities & Duties
Event Planning and Strategy
- Collaborate with internal stakeholders (marketing, sales, executive leadership) to define event objectives, target audience, and key messages.
- Develop comprehensive event plans, including timelines, budgets, and resource allocation.
- Source and secure suitable venues, vendors (catering, AV, entertainment), and suppliers, ensuring cost-effectiveness and quality.
- Negotiate contracts with vendors and suppliers to secure favorable terms and conditions.
Event Execution and Management
- Manage all logistical aspects of events, including registration, attendee management, speaker coordination, and on-site support.
- Oversee event setup and teardown, ensuring all elements are in place and function as planned.
- Act as the primary point of contact for all event-related queries from internal and external stakeholders.
- Manage on-site event operations, troubleshooting any issues that may arise in a timely and professional manner.
- Ensure all events adhere to health and safety regulations and company policies.
Budget Management
- Create and manage event budgets, tracking all expenses to ensure events remain within allocated funds.
- Provide regular financial reports and post-event budget reconciliation.
- Identify opportunities for cost savings without compromising event quality.
Marketing and Promotion
- Work with the marketing team to develop promotional materials, including invitations, e-mail campaigns, and social media content.
- Manage attendee registration platforms and databases.
- Analyse event data and provide post-event reports on attendance, feedback, and return on investment (ROI).
Stakeholder & Vendor Relations
- Build and maintain strong relationships with internal teams and external partners.
- Manage a network of trusted suppliers and vendors to ensure a high standard of service.
Qualifications and Experience
- Education: A relevant commercial qualification, or a degree/diploma in Marketing or Events Management is essential.
- Experience: A minimum of 3-5 years of proven experience as an Events Co-ordinator or similar role, specifically within the financial services, insurance, or banking sectors.
- Knowledge: In-depth knowledge of the events management lifecycle, from concept to post-event analysis.
- Technical Skills: Proficiency in event management software, CRM systems, and Microsoft Office Suite (Word, Excel, PowerPoint).
- Must have a valid driver’s license and own reliable transport.
