Operations Executive will form part of the HQ Company Core Team, with direct reporting to the Operations Manager, and dotted line to COO / CMO.
Operations Executive will work closely with his / her peers in HQ(Financial Manager and Business Development Manager) to provide a consolidated healthcare management service for ULTIMED HEALTH CLINICS PTE LTD
Main place of work will be at the HQ main office. He / she is however expected to be mobile and rove around to the various clinic locations as part of his / her work requirements, or as required by the COO / CMO / Ops Manager, to ensure his / her duty (outlined below) is fulfilled.
Key Responsibilities:
- Work with COO / CMO and HQ Core team to plan and execute all clinic set-up activities, especially in matters pertaining to (non-exhaustive)
- Taking part and providing inputs to the COO / CMO and the Board in the conduct of location recce, renovation planning
- Assist to ensure centres are planned with ample space allocation provided for specific clinical activity / emergency considerations;
- To ensure that planned layout and set-up will enable clinical operations to occur seamlessly taking into account;
- Infection Control requirements (disinfection, airflow and ventilation etc),
- Specimen storage and handling,
- Cold-Chain management, (Ambient room temperature, Fridge location / UPS ~ Un-interruptible Power Supply)
- Dispensary allocation (High Alert, Special Handling & Controlled Drugs)
- Medical Records Office, security & PDPA requirements,
- Tracking of development and progress of various clinic setting up based on Business Plan schedule
- To partake in procurement for the various clinic locations, for clinic equipment, supplies, medication & consumables
- Ready the relevant composition and number of hires for various centres as per hiring strategy stated in Business Plan
- MOH HCSA licensing application, inspection and approval

- Fire & Safety management
- Assist the COO / CMO in contract negotiations and implementation with partner labs, biohazard waste company, drug and consumable supplier in matters pertaining to operational workflow
- To assist in On-boarding of clinics into respective relevant Medisave, CHAS, PHPC, TPA panels, PCN and Healthier SG enrolment etc
- Provide regular reporting (daily, weekly and monthly, on various clinic-operations parameters as and when requested by COO / CMO
- Ensuring all client contract implementation are executed and billed accurately as required, by way of proper Contract Implementation Form (CIF) usage and training / briefing of clinic staff, maintaining service quality and cost efficiencies
- Monitor all other matters pertaining to each centre’s unique locale, service provisions, staff composition and clientele – incorporating the necessary resources to resolve matters efficiently, raising to higher management wherever required
Day-to-day Operations
- Ensure that all Centres are operationally ready at start of day in terms of adequate manpower (including Doctors), sufficient medication and consumables and other resources integral to clinic operations
- Assist the Operations Manager to consolidate all clinic-level orders for medication, COG’s and other required ad hoc special orders, before final approval from COO / CMO
- Assist the Operations Manager to process Leave application, to maintain a robust roster for Doctors & other clinic staff
- Be the Process owner and conjure the necessary SOP (non-exhaustive) for the following operational day-to-day activity to ensure standardization across the whole business / centres – working with the Operations Managers in
- new hire onboarding & training
- CMS set-up
- clinical & service matters (patient feedback, complaints, incident reports, service recovery)
- clinic-level financials (accurate billing / claims),
- supply and inventory management (drugs and consumables),
- biohazard waste management
- legislative requirements (license application & renewals)
- infection control standards / disinfection protocols
- clinic IT-downtime protocol
- equipment servicing and preventive maintenance
- staff P-File Management (working with HR)
- Work with Operations Manager to ensure day-to-day employee standards, compliance and discipline is maintained
- Participate in regular meetings and briefings with HQ Core Team, Area / Clinic Managers / Clinic Supervisors to review all operational issues including clinic and staff performance, urgent matters for rectification, feedbacks from staff etc
- To dutifully execute and complete all other tasks assigned by COO / CMO as per business requirements
Qualifications & Skills:
- Past experience in a similar role is a must,
- Familiar with clinic set-up, operating systems, TPA claims submission
- Conversant in SOP generation and language
- Familiar with process and quality improvement matrices
