Job Summary

As a Site Administrator, this role will play a vital role in maintaining site administrative operations, enhancing customer experiences, and supporting our mission of excellence. The role reports to the Site Leader and will perform general site administration responsibilities at the site level to enable smooth functioning of site administration matters to support customer site visits, audits, site leaders’ communications, site meetings planning, overseas travel support, handling office supplies inventory and employee engagement activities on site.

Personnel will also collaborate with key functions on site like HR, IT, Finance, Quality, Logistics, Facilities, Engineering, Planning, Procurement and others to ensure we have good administration processes on site to support the Client's mission to deliver excellence in customer service.

What You’ll Do:
  • Develop and maintain site administration processes for customer visits/audits, overseas travel, employee engagement activities, office supplies budget and spending, and documentation management.
  • Supports with meeting and events tasks as assigned.
  • Lead/work with functional teams to streamline site administration processes to improve the customer experience as our site continues to grow.
  • Provide support to develop site administration processes for customer visits/audits, overseas travel support, employee engagement activities, office supplies, documentation management, support site leader in planning site communications and Townhall meetings.
  • Assist site Leader in developing business communications and manufacturing reports with good written and presentation skills using MS-Office tools. Good at video creation and editing software tools.
  • Provide ongoing support to various functions on site.
  • Provides support on internal audits/controls on supplier invoices verification.
  • Partners with various functions on site to identify new improvement opportunities on site administration in making it a great place to work.
  • Collaborate with other Singapore site administration staff to improve the administration systems further and share standard methodologies.
What You’ll Need:
  • Minimum Diploma in Business Administration or equivalent
  • At least 3 years of relevant experience
  • Good presentation skills and fluent in office tools like MS-Office, Microsoft teams virtual team meetings, webinar platforms like WebEx and very digital savvy.
  • Proven record of working with senior executives and demonstrating executive presence
  • Ability to work with global sites in planning visits, virtual meetings and information sharing.
  • Good at organizing/planning employee events on site and using various innovative vehicles for effective communications on site for active positive engagement.
