Job Overview

The Service Contract Specialist, part of the Service Back‑Office team, is responsible for managing all aspects of service contracts. The role’s primary objective is to ensure timely proposal and renewal of contracts, maintain profitability, and accurately manage contracts within the system.

Job Responsibilities and Essential Duties
Daily responsibilities
  • Review and prepare data analysis and findings on service contracts profitability for review meetings using Power‑BI.
  • Extract and prepare service contracts profitability summary card for management review.
  • Prepare proposals for tender submissions to customer’s platform.
  • Send contract proposals to customers promptly.
  • Follow up with customers and revise contract proposals as needed.
  • Review Master Service Agreement contract terms and conditions from customer to safeguard the company’s interests.
  • Ensure contracts comply with company guidelines.
  • Collaborate with the Senior Service Contract Specialist to prepare contract proposals, de‑escalation disputes and contractual issues.
  • Establish pricing structures for service contracts based on product lines and contract levels.
Month-End responsibilities
  • To prepare monthly service slides on service contracts.
  • Generate monthly service contract KPI reports (e.g, renewal rate, profitability, trends).
Data Maintenance
  • Create warranty and service contracts in SAP and archive the hard copies.
  • Monitor the expiration of existing warranty and service contracts.
  • Update contracts in SAP when equipment is decommissioned, ensuring documentation is current.
Administrative responsibilities
  • To be an SAP Key User and a subject matter expert (SME) for service contracts in the service team.
  • Provide support to the Service Coordination Team if required.
  • Perform any ad‑hoc duties assigned by the line manager and/or the Company.
  • Proven experience as a service coordinator and/or customer service role with 3‑5 years working experience.
  • Minimum Diploma holder in any discipline.
Required Knowledge, Skills and Abilities
  • Possess excellent communication and organizational skills.
  • Able to work in a fast‑paced environment.
  • Able to work independently and as a team.
  • Proficiency in MS Office and SAP is preferred.
