Job summary

A project management firm in Singapore is seeking an experienced administrative professional to provide comprehensive support to the project team. Responsibilities
  • Provide comprehensive secretarial, operational, and administrative support to project manager and project team.
  • Coordinate and schedule meetings, preparing agendas and following up on action items.
  • Manage and maintain project documentation, ensure accurate filing, version control, and distribution.
  • Liaise with internal departments, contractors, and vendors to support project activities.
  • Assist in preparation of reports, presentations, and correspondence.
  • Monitor and update project schedules, logs, and trackers.
  • Coordinate onboarding and access arrangements for new team members.
  • Arrange travel, accommodation, and logistics as needed for the project team.
  • Maintain office and pantry supplies, ensuring smooth day-to-day operations.
  • Support ad-hoc administrative tasks to ensure project efficiency.
Requirements
  • Diploma and above in Business Administration/Management or a related discipline.
  • Above 12 years of secretarial and administrative experience in the Oil & Gas industry with major operators and EPCs.
  • Minimum 10 years of experience in project control, coordination and documentation.
  • Above 5 years of experience supporting senior management and multidisciplinary project teams, minimum 3 years of cross-departmental and stakeholder liaison and support.
  • Above 10 years of involvement in large-scale regional upstream and downstream EPC projects up to USD 4 billion in project value.
  • Highly proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), familiar with data/document management and ERP tools such as SharePoint, EIDA, DMCS, PULZ, Aconex and SAP.
  • Strong organisational, communication, and time management skills.
  • Ability to handle a large volume of confidential information with professionalism and discretion.
  • Able to travel overseas for work as required by business needs.
