Operations Assistant
Overview

The Operations Assistant oversees the overall safety, security, and safeguarding of the school. The role serves as the interface between the school and the outsourced security service provider (OSSP), ensuring business continuity in matters related to security, health, safety, and safeguarding.

Duties and Responsibilities
  • Act as the first responder to all emergencies as a member of the School Company Emergency Response Team (CERT).
  • Attend to all security, health, safety, and safeguarding incidents that occur on campus.
  • Manage and operate all security‑related systems, including access control and CCTV, performing first‑level maintenance and fault finding.
  • Collaborate with the OSSP to manage school internal vehicular traffic during peak hours.
  • Conduct daily/periodic physical checks on areas related to health and safety, including fire alarm panels and call points.
  • Inspect the school compound and facilities, providing timely rectification of identified issues.
  • Assist in creating and managing passes.
  • Maintain live monitoring of the campus via CCTV, including replaying daily footage.
  • Investigate and vet incident reports submitted by the OSSP, and conduct after‑action reviews (AAR).
  • Perform security and risk assessments of the campus and provide recommendations to improve safety.
  • Manage workplace investigations, grievance, and discipline matters, including conflict resolution between the school and the OSSP.
  • Address security incidents and complaints highlighted by staff, students, and visitors.
  • Enforce security, health, safety, and safeguarding policies, protocols, and measures to ensure a safe environment.
  • Coordinate with the OSSP to manage school events requiring security support.
  • Support all school events, particularly those requiring security coordination (e.g., Open House).
  • Handle other operations/security tasks as assigned by the COO/Admin Manager.
Requirements
  • Proven experience in operations, facilities, or security related fields; international school experience is an advantage.
  • Experience managing access control and CCTV systems.
  • Good command of written and spoken English.
  • Team player with a positive work attitude and initiative.
  • Excellent interpersonal and cross‑cultural communication skills are an advantage.
  • Strong organisational and interpersonal skills with the ability to work independently.
  • Understanding of the latest security technology, AI, and best practices.
  • Basic IT skills, including proficiency with MS Office and data entry.
  • Aptitude for continuous learning in related fields.
  • Flexibility to work out‑of‑hours emergencies.
