Job summary

A multinational staffing service provider in Singapore is seeking an experienced Office Administrator. This role involves providing receptionist coverage, managing office operations, and ensuring smooth communication within the office. Ideal candidates will have a minimum of 5 years in office administration, with a professional demeanor and a proactive attitude. Ability to start immediately is preferred.

Qualifications

Responsibilities

  • Provide receptionist coverage including greeting visitors, clients, and guests.
  • Ensure smooth and efficient office operations on a daily basis.

  • Handle incoming and outgoing mail and courier services.
  • Assist with booking and maintaining meeting rooms.
  • Oversee office maintenance, repairs, and service vendors.
  • Process invoices related to office purchases.
  • Oversee operation of office equipment.

Responsibilities
  • Provide receptionist coverage when required, including greeting, welcoming, and directing visitors, clients, and guests in a professional manner.
  • Ensure the office environment operates smoothly and efficiently on a day-to-day basis.
  • Manage the main office telephone line by screening and forwarding calls, taking messages, and handling general email enquiries.
  • Handle incoming and outgoing mail, parcels, and courier services, including logging deliveries, sorting mail, and coordinating pick-ups.
  • Assist with meeting room bookings and ensure meeting rooms are well-maintained, tidy, and adequately stocked with necessary supplies.
  • Coordinate and oversee office maintenance, repairs, and service vendors.
  • Process invoices related to mailing, procurement, and other ad-hoc office purchases.
  • Oversee the operation of office equipment such as printers and phone systems, ensuring copier machines are stocked with paper daily.
Requirements
  • Minimum of 5 years' relevant working experience in office administration; experience as a receptionist is an advantage.
