Job Summary

We are looking for a detail-oriented and adaptable Admin Executive. This role will primarily support daily regional administrative operations while also handling basic IT-related matters such as devices procurement and system setup coordination. The ideal candidate is tech-savvy, proactive, and flexible, with a strong sense of responsibility and attention to detail.

Key Responsibilities
Administrative & Office Operations
  • Manage daily administrative tasks to ensure smooth office operations.
  • Handle procurement of office equipment, including laptops, mobile phones, and related devices.
  • Coordinate contracts, agreements, and vendor documentation, ensuring proper approval workflows.
  • Process and track invoices, purchase orders, and payment documentation accurately and timely.
  • Liaise with external vendors such as suppliers, telco providers, and service partners.
  • Support ad-hoc administrative requests as needed.
IT & Systems Support (Basic Level)
  • Provide basic IT support, including device setup, system access coordination, and simple troubleshooting.
  • Support employee onboarding and offboarding (IT access, equipment allocation, and returns).
  • Coordinate with external IT vendors on system issues, maintenance, and upgrades.
  • Maintain IT asset inventory, ensuring accurate records of devices and licenses.
Requirements
  • Diploma or Bachelor’s degree in Business Administration, IT, or a related field.
  • Fluent in both English and Chinese (as this role will need to engage with some internal stakeholders who based in China).
  • 1–2 years of experience in administrative, office operations, or support roles.
  • Comfortable with IT-related tasks, such as hardware procurement, device setup, and vendor coordination.
  • Experience handling contracts, invoices, and administrative documentation.
  • Detail-oriented, flexible, and able to adapt to changing priorities.
  • Tech-savvy, proactive, and willing to learn new systems and tools.
