Job Summary

We are seeking a proactive and detail-oriented Admin Executive with strong accounting skills to support daily operations in our construction company. This role involves coordinating administrative tasks, assisting with project documentation, and handling basic to intermediate financial duties. The ideal candidate is organized, reliable, and familiar with construction workflows.

Key Responsibilities
Administrative Duties
  • Manage daily office operations and provide administrative support to management and project teams
  • Prepare, organize, and maintain project documentation (invoices, permits, quotations, contracts)
  • Coordinate schedules, handle phone/email correspondence, and manage site supervisors’ and workers’ paperwork
  • Maintain filing systems (digital and physical) in an orderly and accessible manner (like proper filing of accounting and supplier and customer records)
  • Handle worker onboarding/offboarding paperwork (certification, health screening, insurance, safety passes, training records, etc.)
  • Any other administration, and ad-hoc duties assigned by management
Accounting Duties
  • Process accounts payable (AP) and accounts receivable (AR)
  • Prepare and issue invoices, quotations, and statements of accounts
  • Perform bank reconciliation and monitor cash flow
  • Track project costings, progress claims, and petty cash
  • Maintain accurate financial records and ensure compliance with company policies
  • Any other administration, accounting and ad-hoc duties assigned by management
Requirements
  • Minimum 2-3 years of admin experience with basic accounting role (construction or renovation industry preferred)
  • Knowledge of basic accounting principles and experience with accounting software (e.g., Xero, QuickBooks)
  • Proficient in MS Office (Excel, Word)
  • Strong organizational skills with attention to detail
  • Good communication skills and ability to coordinate with subcontractors, suppliers, and team members
  • Ability to work independently and manage multiple tasks in a fast-paced environment
  • Familiar with construction documentation (give examples) is an advantage
  • Ability to speak/write English clearly; Mandarin or dialect is a bonus for liaising with workers/suppliers
  • Able to work well under pressure and able to cope with tight deadlines
