Descripción del puesto
El HR & Administration Analyst es responsable de apoyar las operaciones diarias de las funciones de Recursos Humanos y Administración. Este rol garantiza la ejecución fluida de procesos de RH como incorporación, coordinación de nómina, gestión de datos de empleados y administración de oficina. El puesto también juega un papel clave en la gestión de vehículos corporativos, coordinación del mantenimiento de la oficina y apoyo a eventos internos y comunicaciones.
Funciones
Human Resources Operations
- Support onboarding processes: office tour, equipment delivery, system registrations (e.g., Vacation DB, Concur).
- Maintain employee records and databases (e.g., vacation tracking).
- Maintain up-to-date employee lists (birthdays, cellphone directory).
- Assist with expat documentation tracking and visa renewal coordination.
- Talent Acquisition Support: Support job fairs and recruitment events (logistics, materials, registration), coordinate interview scheduling with candidates and hiring managers, follow up on personnel requisitions and ensure timely processing, conduct initial research and sourcing of candidates through job boards and databases, maintain candidate tracking and communication logs.
- Training & Development: Coordinate internal training (send invitations, manage attendance, request quotations from providers), support on logistics for training sessions (room setup, materials, refreshments), maintain training records and assist in reporting training metrics.
- Employee Engagement & Culture: Collaborate on internal communication campaigns to promote company culture, assist in organizing employee engagement initiatives (e.g., wellness activities, recognition programs), maintain bulletin boards and digital communication channels with updated content (e.g. Intranet).
Administrative Support
- Manage office supplies: kitchen, stationery, cleaning, and IT consumables.
- Coordinate with vendors for cleaning, pest control, HVAC, and general maintenance.
- Maintain and renew subscriptions (newspapers, magazines).
- Ensure posters and handbooks are updated and displayed as required.
- Support lease contract renewals and office audits (e.g., Wixom City inspections).
- Mail collection and allocate/manage it accordingly.
- Go to the post office to send certified mail.
- Drop off FEDEX packages at the drop mail location.
Fleet & Vehicle Administration
- Maintain updated vehicle and driver lists.
- Coordinate vehicle registration renewals and documentation.
- Schedule and track vehicle maintenance and mileage.
- Manage pool vehicles: cleanliness, fuel, and availability tracking list.
- Coordinate logistics for visit vehicles (e.g., airport drop-off/pick-up).
- Liaise with dealerships for quotes, maintenance, and vehicle pick-up.
- Maintain vehicle keys and documentation folders.
Event & Visit Coordination
- Support internal events (e.g., picnic, Christmas dinner, birthday cakes).
- Coordinate logistics for executive and external visits (transportation, catering, meeting room setup).
- Register employees for external events (e.g., MEMA).
IT & Communication Support
- Coordinate with IT Mexico for equipment setup and renewals.
- Manage cellphone renewals and warranty claims.
- Support internal communications (emails for events, visits, celebrations).
Insurance & Compliance
- Assist with insurance renewals and employee vehicle claims.
- Add new assets to insurance policies.
- Coordinate annual fire inspections and alarm system updates.
