The Role

We’re hiring an Executive Assistant to support the CEO. This is a high-trust role for someone who thrives in fast-paced environments and loves being the CEO’s operational right hand, keeping priorities clear, follow-ups tight, and communication flowing.

This is not a Chief of Staff role. While there’s room to grow over time, the immediate need is an exceptional EA who can run calendar + inbox management, track action items, and help the CEO stay organized and responsive across a growing team.

What You’ll Do
Calendar & Time Prioritization
  • Own the CEO’s calendar: scheduling, rescheduling, prioritizing, and protecting focus time.
  • Ensure meetings are well-structured: agendas when needed, correct attendees, and clear outcomes.
  • Proactively flag conflicts, redundancies, and priority mismatches.
Inbox & Follow-ups
  • Manage the CEO’s inbox daily: triage, draft responses, and ensure nothing drops.
  • Track commitments and follow-ups across internal and external stakeholders.
  • Nudge the right people at the right time so projects move forward.
Execution Support & Coordination
  • Act as the CEO’s coordination hub: “Where is this at?” “What’s the status?” “What do you need from Greg?”
  • Keep lightweight systems to track ongoing requests (internal + external).
  • Coordinate across tools like Slack, ClickUp, HubSpot, and Google Workspace.
Evolving Responsibilities (as Trust Builds)
  • Support basic business execution tasks such as preparing proposals, drafting simple contracts, sending invoices, and documenting processes (gradual ramp‑up; no access to critical systems on day one).
Who You Are
  • Experienced Executive Assistant supporting senior leaders (ideally CEO/founder).
  • Highly organized, proactive, and action-oriented—you don’t wait to be told twice.
  • Confident communicator who is comfortable being the go-between with a team.
  • Strong judgment and discretion; you handle sensitive information with care.
  • You ask great questions and are not afraid to seek context when needed.
  • Excellent written English (and overall communication skills).
Tools & Working Style
  • Tools: Google Workspace (Gmail/Calendar/Docs), Slack, ClickUp, HubSpot (experience is a plus; ability to learn fast is essential).
  • The CEO’s style: you’ll get the goal + basic direction, and you’ll be expected to figure things out, ask smart questions, and execute.
Schedule & Time Zone
  • PST-aligned is required.
  • Must be available until at least 6:00 PM Pacific Time.
Location
  • Remote (LATAM). Preference for time-zone alignment (e.g., Mexico / Central America), but strong candidates in other LATAM countries may be considered if they can reliably work PST hours.
