Quick Rundown:

The Property Operations Coordinator plays a critical support role in the efficient day-to-day administration of multifamily properties managed on behalf of third-party owners. This position oversees key resident lifecycle processes, including lease renewals, rent increases, unit turns (move-outs and move-ins), vacancy tracking, and compliance-related inspections. The coordinator functions as a project manager for property onboarding/offboarding and ensures timely, accurate execution of operational workflows while reporting directly to the Director. This role demands strong organizational skills, attention to detail, project management discipline, and the ability to minimize vacancy loss and maintain high resident satisfaction in a fast-paced, diverse resident environment.

What Youll Do:
Lease Renewal & Rent Increase Process Management
  • Track lease renewal submissions, monitor timing, and follow up on late submissions to ensure compliance with deadlines.
  • Review all renewal packages for completeness and accuracy of data.
  • Prepare and hand off renewal packages to the Director monthly.
Move-Out Process Management
  • Update systems: Add/update/remove residents from the notice tracker and vacancy report. Process move-out, completing move-out charge summary.
  • Prepare and send completed packages to the Property Supervisor.
  • Follow up with residents moving out.
  • Report Monday report of dispositions due; collect and process according to policy.
Project Management
  • Serve as the dedicated Project Manager for Property Onboarding, Property Offboarding, and Unit Turns - coordinating tasks, timelines, stakeholders, and deliverables to ensure smooth transitions.
  • Maintain and track the vacancy report; provide regular updates and reporting to the Director. Monitor original completion guarantees, track variances in days, and document number of extensions.
Inspection Tracking & Reporting
  • Track and report to the Director on Monthly, Semi-Annual, and Agency Inspections.
  • Schedule and ensure compliance with semiannual property inspections to maintain quality, safety, and maintenance standards.
What Were Looking For:
  • Bachelors degree required (preferably in Business Administration, Real Estate, Project Management, or a related field).
  • Demonstrated project management background with experience leading process-driven initiatives, coordinating cross-functional teams, and managing timelines and deliverables.
  • 3+ years of experience in multifamily property management.
  • Proven proficiency with project management software, particularly Smartsheet (for task tracking, dashboards, and reporting); experience with property management platforms such as AppFolio.
  • Bilingual proficiency in English and Spanish required (fluent oral and written communication) to effectively interact with diverse residents, vendors, and team members.
  • Excellent organizational, time-management, and follow-through skills with meticulous attention to detail and strict deadline adherence.
  • Solid understanding of multifamily operations, fair housing regulations, and resident lifecycle processes.
  • Strong communication skills for interacting with residents, vendors, inspectors, and internal teams.
  • Ability to work independently while collaborating closely with the Director and property teams.
