Position Summary
The Operations-Administrative Assistant will work closely with the VP of Operations to ensure our company's smooth, efficient operation. This role requires a proactive, detail-oriented professional with excellent organizational skills and the ability to handle multiple tasks at the same time efficiently.
Key Responsibilities
- Support to VP of Operations: Assist in planning, organizing, and managing daily activities and projects for the VP of Operations.
- Calendar Management: Schedule, coordinate, and manage the VP's appointments, meetings, and travel itineraries.
- Documentation and Reports: Prepare, organize, and distribute relevant reports, presentations, and other documents as required.
- Communication Coordination: Serve as the point of contact between internal teams and external partners, ensuring smooth communication and timely follow-ups.
- Project Assistance: Manage ongoing projects, track progress, and update timelines to ensure they align with organizational goals.
- Meeting Support: Coordinate and facilitate meetings, including preparing agendas, taking notes, and following up on action items.
- Office Administration: Perform general office duties, such as ordering supplies, managing filing systems, and keeping up-to-date records.
- Special Projects: Take on ad hoc projects as assigned by the VP of Operations, which may include research, process improvement initiatives, and event planning.
Skills and Knowledge Qualifications
- Education: A bachelor's degree in business administration, management, or a related field is preferred.
- Experience: 2+ years in an administrative or executive assistant role, preferably supporting senior management.
- Fluent English, B2 / C1
- Exceptional written and verbal communication skills.
- Proficiency in Microsoft Office Suite, Google Workspace, and project management software (e.g., Asana, Trello).
- Strong organizational and multitasking abilities.
- Ability to work independently and as part of a team.
- Confidentiality and discretion are a must.
Preferred Qualifications
- Prior experience in operations, project management, or a similar field.
- Familiarity with data analysis and report generation.
- Strong understanding of organizational processes and structures.
