Role Overview

The Facilities Program Administrator plays a key role in preserving the properties we manage. You'll support maintenance operations by coordinating vendors, managing recurring services, maintaining accurate records, and ensuring compliance with insurance and documentation requirements. Work comfortably from home, 8 AM - 4 PM (Central Standard Time) and push for better results.

This is a behind-the-scenes, high-impact role for someone who understands how their work affects dispatch, technicians, property managers, and ultimately our residents and owners.

Key Responsibilities
Vendor & Recurring Service Coordination
  • Assign and schedule recurring services such as landscaping, snow removal, clean & checks, common area cleaning, laundry coin pickups, and boiler on/off services
  • Assign the appropriate vendor based on location and service requirements
  • Serve as the primary point of contact for all recurring service communication
  • Proactively update internal teams and residents on vendor schedules and service status
Maintenance Operations Support
  • Monitor recurring service performance to ensure SLAs are met
  • Support the GC Realty Experience by preventing missed appointments and service gaps
  • Review and manage the maintenance email inbox daily-assigning, tracking, and closing out items
  • Audit and update the after-hours vendor portal as needed
Inventory & Documentation
  • Maintain accurate shop and van inventory records in coordination with the Maintenance Dispatcher and technicians
  • Ensure materials, usage, and documentation are accurate and up to date
  • Maintain clean, error-free records that support downstream billing, reporting, and operations
Required Qualifications
  • Minimum 1 year of experience managing vendors, contractors, or subcontractors
  • Strong time management and task prioritization skills
  • High attention to detail and commitment to data accuracy
  • Solid understanding of maintenance workflows and service coordination
  • Advanced English communication skills (written and verbal)
  • Comfortable working in systems and following documented processes
Preferred Qualifications
  • 3+ years experience managing vendors or contractors
  • Prior experience in property management or maintenance operations
  • General knowledge of residential repair costs, timelines, and standards
  • Experience working with work order systems or maintenance software
  • Proven ability to identify inefficiencies and suggest process improvements
Compensation & Benefits
  • Compensation: Starting at $7/hr USD, with additional performance based compensation paid out monthly
