POSITION SUMMARY

While working closely with the Golf Operations Manager and Coordinator, assists with the coordination of programs and providing administrative support within the Golf Operations Division.

ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Assist in maintaining and updating a Master Schedule of golf course events and activities, including Special Events, Tournaments and Outings, Group Play, Green Team, Sunday Couples, Men’s Niners, and course closures.
  • Master Schedule is maintained for all golf courses on a combined and independent course document.
  • Working with the Golf Operations Manager, schedules and contracts small tournaments and outings, interclub play, and special promotions.
  • Assists residents with the purchase and cancellation of advance tee times through the Family Golf Pass Program maintaining a log of all Family Golf Pass tee time purchases and cancellations.
  • Follows proper end-of-day procedures to account for all purchases and returns. Daily Deposits, end of month inventory counts, proper handling of sales returns, etc.
  • On a monthly basis, receives documentation of all promotional and complimentary golf rounds from each golf course, organizes the information by category, and maintains a spreadsheet of the data by golf course.
  • Coordinates the ordering of and follows through on receipt of print materials (scorecards, business cards, lottery slips, etc.), employee badges, print cartridges and office supplies, and arranges for equipment maintenance.
  • Heavy phone and customer interactions in a challenging fast paced environment with multiple consecutive tasks being processed.
  • Organizes and maintains electronic file system, as well as paper documentation as necessary to include employee contact, inventory reports, sales reports, schedules.
  • Writes and publishes weekly golf-related story and updates existing stories on the Sun City West Community News blog and the RCSCW E-news.
  • Creates and administers promotional material for all social media outlets each week.
  • Updates existing golf-related promotional and informational slides, creates new slides and distributes the updated material for inclusion at each of the pro shops monthly.
  • Impeccable customer service and social perceptiveness to include the ability to evaluate customer satisfaction and responsiveness and pivot service as needed.
  • Must be able to work a flexible work schedule to include evenings, weekends, and holidays, and in some cases schedule changes on short notice.
  • Maintains consistent record of acceptable attendance and punctuality according to policy guidelines.
  • Performs other duties as assigned.
CERTIFICATES, LICENSES, REGISTRATIONS

Maintain a valid Arizona driver’s license and good driving record for insurance purposes.

  • Obtain and maintain a Food Handlers Card within 30 days of hire.
  • Obtain and maintain a current and valid Arizona Title 4 Basic Liquor Law Training Certification within 30 days of hire.

This job has no supervisory responsibilities.

QUALIFICATIONS

EDUCATION And/or EXPERIENCE
  • High School Diploma or General Education Degree (GED); or one-year related experience and/or training.
    • An equivalent combination of education and experience may be substituted.
  • Must have a minimum of two years’ experience in golf operations.
    • Golf pro shop retail experience highly preferred.
  • Customer service background required.
  • Must have advanced knowledge of various software programs, including Outlook, Word, Excel, Publisher, PowerPoint, WordPress.
    • Knowledge of POS systems, Paycom, and TEI program a plus.
    • Familiarity with point of sale, electronic tee sheet and lottery system highly preferred.
  • Proficient in written communication, both grammatically and creatively.
  • Familiar with use of various office equipment including computers, printers, copiers.
  • Experience in administration and creation of social media outlets is required.
PHYSICAL DEMANDS

Work is conducted in a dynamic, fast-paced office, golf course and facility setting with moderate to loud levels of noise. The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

The following are representative illustrations of requirements-sitting or standing for extended periods of time primarily in an office setting but at times in offsite locations to and from their assigned work area. Work involves walking, talking, hearing, using hands to handle, feel or operate objects and tools to include computers and office equipment. Vision abilities include close vision, peripheral vision, depth perception and the ability to adjust focus.

The employee must regularly lift and or move up to 50 pounds independently and occasionally lift and/or move up to 100 pounds with assistance.

WORK ENVIRONMENT

The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job.

The noise level in the work environment can be moderate or louder depending on the venue.

Work is expected to be performed from an office setting and golf course venues that are both indoors and outdoors.
