MECHANICA SISTEMI is looking for an EXECUTIVE ASSISTANT

EXECUTIVE ASSISTANT

The highly professional and multilingual Executive Assistant provides comprehensive support to the CEO by demonstrating exceptional organizational, communication and interpersonal skills, ensuring efficient management of the CEO's daily agenda, communications and special projects.

Main activities:

  • Manage and coordinate the CEO's calendar, including meetings, appointments, and travel arrangements
  • Facilitate clear and timely communication between the CEO and internal/external stakeholder
  • Prepare, draft and review emails, reports and correspondence in English and Italian
  • Attend meetings, take minutes and follow up on necessary actions
  • Organize travel itineraries, hotel accommodations and manage related expense reporting
  • Manage and update internal financial documents in coordination with the finance team
  • Support confidential and strategic projects, ensuring discretion and professionalism at all times


Required skills and attitudes:

  • At least 3 years of experience in a management support or related administrative role
  • Proficiency in Italian (spoken and written) is required
  • Excellent knowledge of the English language (level C1/C2 in writing, speaking and listening)
  • Knowledge of French or other languages is considered a plus
  • Excellent organizational skills, with the ability to effectively prioritize and manage multiple tasks
  • Discretion, professionalism and a high level of confidentiality are essential


Computer skills:

  • Excellent command of the Microsoft Office suite and familiarity with digital collaboration tools (e.g., Zoom, Teams, Notion)
