- Jefferson Wells is recruiting, on behalf of a client company, an Executive Assistant to support two C-Level Executives and Board Members
Key Responsibilities :
- Act as the first point of contact, handling calls, emails, and correspondence
- Manage calendars and schedule meetings and appointments
- Organize travel arrangements, including transportation and accommodation
- Monitor deadlines and proactively remind the executives of important tasks
- Draft, edit, and format reports, presentations, and correspondence
- Maintain databases, digital files, and physical filing systems
- Develop and implement effective administrative procedures and processes
- Communicate and coordinate with internal departments, external stakeholders, suppliers, and clients
- Prepare, submit, and track expense reports
- Conduct research and compile relevant information on behalf of the executives
- Provide support with personal tasks and commitments when required
Requirements :
- Proven experience in a similar role, ideally supporting senior executives or board members
- Excellent organizational and time management skills, with the ability to prioritize and multitask effectively
- Exceptional written and verbal communication skills in English
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other productivity tools
- Strong attention to detail and a proactive, problem-solving attitude
- High level of professionalism, discretion, and confidentiality
- Flexibility and willingness to work outside of standard office hours when needed
- Enthusiasm for coordinating projects and events
- Confidence in preparing spreadsheets, reports, and presentations
- Self-motivated, dependable, and able to work independently as well as part of a team
