Job Overview

Support the smooth running of Castle Ward’s 29‑bed Rheumatology and Endocrine unit, which also admits general medical patients. The Ward Manager Assistant will provide administrative and secretarial support to a multidisciplinary team, review processes, and help improve services.

Responsibilities
  • Work closely with ward staff to develop and implement administrative systems.
  • Provide secretarial support: prepare and type letters and reports, and record and report action notes from ward meetings.
  • Ensure relevant paperwork is available for ward meetings, patient discharges, and communication with health visitors and external health services.
  • Assist in analysing and responding to service‑user feedback to improve services.
  • Organise meetings, the Off‑Duty rota, annual leave and sick leave information, and mandatory staff training.
  • Maintain logs of equipment and estates issues, liaising with relevant departments.
  • Assist with matrons rounding, recruitment administrative processes, and procurement of ward supplies within agreed budget.
Person Specification
Essential Qualifications
  • GCSE or equivalent in English and Maths, grades A–C.
  • Experience in administration or customer care, or equivalent.
Essential Skills, Knowledge & Abilities
  • Experience using Microsoft Office (Word and Excel).
  • Experience working in a multidisciplinary team.
  • Customer‑care experience and handling patient/customer queries.
