Job Description
Wessex Procurement Ltd (WPL) is seeking a motivated and reliable Stock Management Officer to join our team at the Royal County Hampshire Hospital in Winchester. You will play a key role in supporting clinical teams by ensuring wards and departments have the right supplies available. Working independently, you will own your allocated areas, manage stock levels and use barcode scanning technology to maintain day-to-day operations.
Main duties
- Replenish, receipt, issue and stow stock using Inventory Management System (IMS), capturing lot numbers and expiry dates as required.
- Use IMS systems and devices to record transactional data; perform cycle counts as per standard operating procedures.
- Provide advice to customers and liaise with suppliers to improve performance and delivery within the supply chain service.
- Set up stock profiles to suit clinical requirements and reflect them in the computerised materials management system.
- Physically organise storerooms and coordinate requirements with the computerised stock system.
- Develop, implement and maintain managed inventory solutions in collaboration with Stores Lead; liaise with procurement to secure value-for-money purchases and identify potential savings.
- Raise requisitions for contracted or non-contracted items; deliver, unpack and replenish stock to wards/departments storerooms or IMS systems, ensuring stock rotation and accuracy.
- Maintain tidiness and cleanliness of storerooms; provide a liaison service between user departments and suppliers with specialist supply chain knowledge.
- Monitor and replenish consignment, SSDP and sale/return stocks; manage reports and tools in line with SOPs.
- Lead and prioritise information for customers regarding potential problems in the supply chain; identify cost-effective alternatives for end users.
- Receive and act on data from suppliers, account managers, representatives and Procurement Leads; monitor stock availability, delivery times and back-orders.
- Expedite orders with Procurement/supplier to minimise delays; escalate to supplies and clinical leads as appropriate.
- Ensure receipt of credit notes or replacements for returned items; analyse invoice discrepancies and coordinate resolutions with suppliers, Procurement and financial services.
- Maintain and update the computerised stock system; produce and analyse IMS reports; provide cost-effective recommendations to budget holders.
- Be the first point of contact for clinical staff regarding procurement processes for goods and services, including new products and obsolete items.
- Run reports and analyse data to review products and stock levels; propose changes to drive development or savings and maximise cost effectiveness.
- Analyse Materials Management data to identify benchmarks, progress measures and trends; suggest changes to the Materials Management Supervisor.
- Plan and organise annual stock reviews with user departments.

Qualifications and Essential Skills
Essential qualifications
- Understanding of Materials Management principles and processes (stock control, ordering, invoicing and customer care) via NVQ Level 3 or foundation of CIPS or equivalent experience.
- Basic level experience of Windows applications (Word and Excel).
- Good standard of education including Mathematics and English.
Essential experience
- Demonstrable customer care skills (telephone and in person).
- Experience in roles requiring good organisational skills and prioritisation of workload.
Desirable
- Medical consumables product knowledge.
- Knowledge of NHS Purchase Order and Materials Management systems.
- Experience in NHS Procurement / Materials Management / Distribution.
- Supply chain knowledge.
- Knowledge of Health and Safety in the Workplace.
- Previous hospital or health service experience.
