Main duties of the job

The duties and responsibilities to be undertaken by membersof the Practice administration team include supporting clinicians with tasks, providing excellent patient care and maintaining the practice bookings system. Duties may be variedfrom time to time under the direction of the Operations /Practice Manager,dependent on current and evolving Practice workload and staffing levels.

This is a diverse and varied role where no 2 days are the same, so a willingness to adapt is essential, as well as enjoying working as part of a team and supporting others.

Situated in the heart of Richmond, Sheffield, we are adynamic 4 partner surgery with a patient list size of 9,900. Our practice fallswithin the boundary of South Yorkshire ICB and we are part of the collaborative2 Townships PCN which consists of 5 practices.

We are a patient centric practice with a family orientatedapproach and are keen advocates of Greener Practice credentials. Rated Goodby the CQC, we are a patient-focused, high-performing practice, consistentlyachieving strong results in QOF.

Our multidisciplinary team includes 5 other salaried GPs, 4practice nurses, 3 healthcare assistants, as well as an experiencedadministrative and reception team. Our ARRs roles include a physiotherapist,social prescribers, an occupational therapist, HCA and pharmacists.

As an accredited training practice, we provide education forGP trainees. Our team of Partners are experienced trainers committed tomentoring the next generation of clinicians.

Job responsibilities
  • Maintaining and monitoring the Practiceappointments system on SystmOne.
  • Processing personal and telephone requests forappointments, visits and telephone consultations and ensuring callers aredirected to the appropriate healthcare professional.
  • Taking messages and passing on information
  • Filing/Scanning and retrieving paperwork
  • Processing repeats prescriptions in accordancewith Practice guidelines
  • Computer data entry/data allocation andcollation; processing and recording information in accordance with Practiceprocedures
  • Initiating contact with and responding torequests from patients, other team members and associated healthcare agenciesand providers
  • Clearing and re-stocking consulting rooms asrequired
  • Providing clerical assistance as requiredincluding word/data processing, filing, photocopying and scanning
  • Monitoring of stationery/clinical room and othersupplies
  • Accepting and documenting samples from patients
  • Assisting secretary with typing referrals andother documentation when required
  • Supporting when patients or clinical staffrequest a chaperone
  • Assisting with spot cleaning of the premises asand when required to ensure that all patient areas are presentable throughoutthe day
  • Ensuring building security, closing doors, windowsand shutters at the end of the day.
Person Specification
Experience
  • The successful candidate will have and be able to demonstrate:
  • Excellent customer service skills. Previous NHS GP Practice experience is desirable but not essential; We are looking for the right person to join our dedicated team
  • Friendly and approachable manner;
  • Experience of working in a team;
  • Good telephone manner;
  • Professionalism;
  • Adept in using own initiative when working alone;
  • Experience of working in a busy environment;
  • The ability to multitask and prioritise effectively whilst staying calm under pressure;
  • Has a good understanding of confidentiality;
  • Flexibility in working pattern and duties;
  • Ability to cope with and manage change;
  • Computer literate. SystmOne and Accurx familiarity is desirable but training will be provided.
