Job summary
The Reception Manager/Lead for Education Facilities Post will provide essential day‑to‑day management of the Reception Team, both operationally and personally, whilst also offering high‑level Training Room advice and support on all activities within both Redwood Education Centre at Gloucestershire Royal Hospital and Sandford Education Centre at Cheltenham General Hospital.
The Post Holder will also be integral to the management of Health and Safety compliance and deliverables within both Education Centres.
The Post Holder will be able to work flexibly at both sites to provide cross‑site Reception cover.
The Post Holder will play a pivotal role in supporting all Internal and External Training and Meeting events taking place at both Education Centres, with the continued development of an effective, quality and customer focused service.
Main duties of the job
- Previous experience in a Supervisory/Management Capacity, ideally within an NHS/Medical Setting.
- Strong planning and organisational skills to be displayed/evidenced in leading the Reception Teams, but also within the Education Centre Training Room booking programmes.
- Working knowledge of Microsoft Office Packages alongside an awareness of the Trust Education Centre Booking System – "Bookwise Education."
- Demonstrable ability to successfully manage multiple activities and maintain focus on priorities in order meet deadlines, which are often conflicting.
- Ability to work alone and make informed safe decisions without prior approval/supervision.
- Develop highly motivated, skilled and engaged Reception Teams, committed to delivering the best experience for all Education Centre Stakeholders.
- Manage complex and demanding communications effectively and productively with a range of Internal and External Colleagues at all levels and partnership organisations.
- Effectively engaging with all Education Centre Colleagues to identify opportunities to extend and improve our Education Centre Standards.
Job responsibilities
Key Responsibilities including Personnel
- Motivate and enthuse the Reception Team through effective leadership and team working.
- Foster a collaborative team culture to support safe and effective service delivery.
- Drive a high‑performance, kind and considerate culture across the Reception Team.
- Complete all relevant paperwork for the Trust Vacancy Control Panel as required for Reception Vacancies.
- Recruit and select Reception colleagues, including all TRAK documentation.
- Monitor performance, sickness absence and conduct informal/formal reviews.
- Take responsibility for annual appraisals and performance reviews.
- Manage queries relating to pay, annual leave, sickness absence, etc.
- Learn bespoke Education Centre audio‑visual equipment.
- Develop partnerships with internal and external stakeholders.
- Authorise all annual leave and line‑manage the Reception Team.
- Implement Trust Policies and Procedures.
- Provide cross‑site reception cover, including early and late shifts.
- Produce Training Room Activity Reports and coordinate formal responses to complaints/concerns.
- Lead the development and implementation of local policies and procedures.
- Lead on Education Centre Health and Safety documentation and policy development.
- Lead on Bookwise Education programme support and conference booking management.
Management and Leadership
- Line manage a team of 5 Reception colleagues.
- Plan and implement mandatory training and local induction programmes.
- Support attendance at statutory and mandatory training sessions.
- Coordinate finance support for training room hire costs.
- Apply effective judgement skills for complex tasks.
- Lead on health and safety compliance and policy development.
Physical, Mental and Emotional Effort, and Working Conditions
A desk and workspace is provided at both Education Centres. The environment is busy with frequent interruptions. Availability daily to discuss training room bookings is required. Display screen equipment usage is expected. Work under pressure to meet changing priorities and manage manual handling of equipment and stationery.
Person Specification
Essential
- Educated to GCSE Grade C or above in Literacy and Numeracy.
- Professional management qualification or extensive management experience.
- Extensive and demonstrable knowledge of the full range of Microsoft Administrative Systems.
- Excellent organisational skills, methodical, accurate and thorough approach to work.
- Able to find ways of solving and pre‑empting problems.
- Effective IT skills.
- Experience of working in the NHS or customer‑facing setting.
- Experience of leading and managing a diverse team (People Management).
- Experience of working collaboratively within a wide range of local and national stakeholders.
Desirable
- Continuing ongoing CPD knowledge/awareness.
- Further specialist knowledge acquired through study or management.
- Able to assess and manage health and well‑being – Mental Health First Aider.
